POSITION: Student Accounts Coordinator
DEPARTMENT: Finance
REPORTS TO: Associate Controller of Finance and Student Accounts
DIVISION: Finance
HOURS: Non-Exempt, Full-Time, 35 hours per week, Monday – Friday, on campus
Hourly rate range: $20 to $24.25 an hour
GENERAL DESCRIPTION: The Student Accounts Coordinator is responsible for the daily activities of the Student Accounts Office; student billing and receivables, disbursement of aid, processing refund checks, assisting and counseling students on accounts due to the college, and performing other related duties as assigned.
SPECIFIC RESPONSIBILITIES:
- Handle Student Accounts functions including processing charges, adjustments, and late fees on student accounts, loan and payment plan reconciliations, and monitoring payments made through third-party vendors (Flywire, Nelnet, etc.).
- Respond to student inquiries to include late payment fees, account balances, payment plan inquiries, and payment deadlines.
- Maintain a basic understanding of the various approaches to financing a college education through financial aid, student loans, payment plans, and other avenues.
- Monitor student accounts for billing accuracy.
- Place delinquent accounts with outside collection agency when deemed appropriate.
- Ensure timely processing of cash receipts and deposits into the bank account.
- Process weekly refunds to student accounts.
- Perform monthly reconciliation of various accounts related to accounts receivables.
- Assist with issuance of IRS Form 1098-T Tuition Statements and TL11A Canadian Tuition Certificates.
- Process student new hire paperwork and complete biweekly review of student payroll.
- Other duties as assigned by the Associate Controller of Finance and Student Accounts.
QUALIFICATIONS: Associates degree and experience in accounting required. Bachelor’s degree in accounting or related field preferred. Experience in higher education with Student Accounts/Financial Aid preferred. Other requirements include proficiency in Microsoft Office, excellent organizational and interpersonal skills, ability to exercise professional judgment, adapt quickly to change and ability to work within a collaborative decision-making arena.
NOTE: Due to the driving/ travel requirements, this position is subject to the College’s Motor Vehicle Use Policy and the employee will be required to sign a release for a Motor Vehicle Report upon hire. This release will remain in effect through the duration of employment unless revoked in writing. Motor Vehicle Report checks are conducted annually by the College.
