As a Medical Records Coordinator, you will play a crucial role in our mission by managing all requests for medical records with precision and compliance. Your responsibilities will include receiving, processing, and releasing medical records while adhering to HIPAA and other regulatory standards. This position supports the entire NEHS market.
Key Responsibilities:
- Receive and manage all requests for medical records via various channels, including fax, mail, email, and phone.
- Maintain an accurate tracking log of all record requests, ensuring timely responses and noting the type and date of each request.
- Ensure proper consent and releases are obtained before releasing any medical records, consistently upholding HIPAA standards.
- Retrieve records from our Electronic Health Record System (Valant) and prepare them for review before release.
- Scan and index medical record documents accurately.
- Consult with regional leadership, market leader, or compliance personnel as needed before releasing clinical information to clients or third parties.
- Ensure timely billing for all record requests according to company and state policies.
- Adhere strictly to established protocols and guidelines for releasing patient information, maintaining compliance with healthcare privacy laws.
- Maintain meticulous attention to detail in all medical records and associated data.
- Collaborate with the team to address any challenges or issues that arise during the record request process.
- Keep accurate records and logs of all faxed records and related communications.
- Attend training sessions and follow project instructions to ensure consistent, error-free performance.
- Provide regular updates on project progress.
- All other duties as assigned
Qualifications:
- Preferred certification as a Registered Health Information Administrator (RHIA).
- High school diploma or equivalent.
- Proficient computer skills, including Microsoft Teams and email.
- Strong multitasking abilities.
- Ability to work independently.
- Previous experience managing medical records requests is advantageous.
- Knowledge of state/federal rules and regulations
- Strong computer abilities and proficiency with electronic medical records
- Knowledge of medical terminology and pharmacology
- Understand and comply with HIPAA
- Excellent communication skills and ability to work well with a team especially in stressful situations
- Desire to do a thorough job in a fast-paced environment
