Position Information

This positon is a year-round 8 hour/day position, assigned to support Due Process at Pankalo Education Center. The starting hourly rate is $26.49/hour. This position is fully benefit eligible, please click here to review the full contract and benefits offered.

Nature of Work

Incumbents are responsible for providing routine and non-routine administrative support to department offices and other staff in the organization. Responsibilities may include: responding to student and staff inquiries; arranging for meetings, trainings, or events; maintaining records and filing systems; creating, organizing, and maintaining records, forms, or related documents; preparing, reviewing, revising, and distributing standard documents and correspondence; ordering and maintaining an inventory of supplies; monitoring assigned processes to ensure accordance with timelines and guidelines; entering, processing, and maintaining student, staff, or related information; and performing basic quantitative and qualitative review of data.

Typical Class Responsibilities

  • Prepares, processes, and distributes a variety of correspondence, reports, information, paperwork, invoices, forms, and/or other information in the assigned area of responsibility; maintains records and databases including staffing, student records, attendance management, timesheets, and employee files; and prepares standard reports.
  • Creates purchase orders; assigns and monitors coding for billing; orders and maintains office inventory and supplies; may track spending and assist with program related budget maintenance.
  • Enters a variety of information into databases, spreadsheets, and/or other related computer-based programs.
  • Performs reception duties including: greeting visitors in person or over the telephone; answering phones and directing calls; responding to requests for information from students, staff, and/or the general public; maintaining visitor security procedures and standards, logs, and badges; and notifying staff of visitor arrivals.
  • Performs routine clerical duties including: coordinating and distributing mail and packages; scheduling meetings, appointments, or activities; and filing, faxing, copying, and printing.
  • Performs other duties of a similar nature or level.


Functional Specific Responsibilities

  • Performs general administrative tasks which may include items such as organizes, maintains, and updates files and records preparation of reports; verifies accuracy and processes forms; prepares mailings for distribution; orders supplies; creates and maintains spreadsheets; answers phone; organizes, copies and assembles training materials; etc.
  • Supports the programs SPED (special education) requirements by monitoring IEP (Individual Education Plan) plans submitted by teachers/case managers for accuracy including timelines, service minutes and altered day to ensure legal compliance, accurate MARRS reporting and accurate tuition billing information. Creates reports to track actions for case managers to meet critical deadlines, creates and distributes meeting notices, reports and documents to students' family and team (916 staff, out-of-district members).
  • Maintains students' records including educational history, SPED and health records, test scores and attendance. Organizes CUM file for efficient staff access, manages record authorization releases, and processes record requests per data privacy laws. Archives records per retention policy.
  • Serves as the program SAC (Student Assessment Coordinator) to ensure students meet testing requirements and receive appropriate accommodations. Create student testing list for staff, file all test results, distribute result to legal guardians and prepare data reports as needed.
  • Greets guests, answering questions, and directs visitor to appropriate contacts. Assists parents, volunteers, and other student support professionals with check-in and signing out of students. Enforces school security policy by verifying guest and customer identification.

Training and Experience Requirements

High School diploma or equivalent (G.E.D); and 3 years administrative support experience.

Physical Requirements

Positions in this class typically require: reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing, and repetitive motions.

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.
