Job Summary:
The Program Coordinator reporting to the Administrative Director of OB/GYN will support the administrative, program and hospital grant needs. The coordinator will assist in coordinating and managing projects to ensure that goals, deliverables and deadlines are met efficiently and effectively. Coordinators will communicate frequently with staff, internal/external partners and patients, and assist them with any barriers that they might be experiencing when participating in our programs or utilizing our services. In addition, the Program Coordinator will help to identify barriers that may be preventing the department and hospital from successfully achieving program outcomes, and assist in meeting patient and community partnersexpectations.
Responsibilities:
- Ensure strong relationships with new and existing partners of women’s health, RPC, maternal health collaboration, and government and community relations are maintained and expanded.
- Utilize technology, and gather, report, and manage documentation and data in electronic application or software associated with the role and scope of work, to maximize productivity
- Adapt easily to changing timelines, program goals and objectives to meet the changing needs of specific programs and renewals of grants and/or department needs
- Comply with policies and procedures governing the program and ensure that the program is operating at maximum efficiency.
- Evaluate the effectiveness of the program and recommend solutions, ideas, and/or improvements
- Ensure compliance in accordance with all current company, local, state and federal regulations and grant requirements
- Participate in regional or local committees and projects related to scope of services, quality, etc.
- Coordinate and facilitate educational workshops, meetings, conferences and events associated with the program in-person and virtual.
- Engage in outreach efforts and interact with members of the community on behalf of the Director to help achieve program goals and objectives
- Performs word processing and creates/assists with PowerPoint presentations.
- Prepare reports.
- Assist with marketing submissions/requests, and distribution of e-mails.
- Create Excel spreadsheets, enter information/data.
- Prioritize and manage multiple projects simultaneously; solicit, research, and compile supporting materials for projects;
- Follows through on issues in a timely manner.
- Work with staff and other community resources to become knowledgeable about available services that may be helpful to community partners, department leaders and/ or patients.
- Assist in overcoming logistical barriers to grants, programs and department goals.
- Provides outreach to expand community partnerships and to maintain internal/external relationships
- Assist department with resolution to hospital grant, programmatic, referral and/operational problems.
- Provide and compiles educational tools and resources for distribution.
- Assist to ensure that appropriate information is available in our websites, and if applicable in the patient's medical records during scheduled appointments.
- Create, distribute and collect surveys to track satisfaction and impact of programs.
- Build awareness of services among the health care team by building professional relationships.
- Facilitate outreach to local healthcare departments, local academic institutions, and non-profit and spiritualbased organizations to inform, recruit and refer providers to the project
- Communicate with providers about unique program departments and/or patient needs, (i.e., cultural).
- Maintain a professional appearance and a clean, safe environment
- Exhibit excellent interpersonal, organization, and communication skills;
- Collaborate with all levels of internal leadership, management, and staff as well as outside community partners, clients, vendors, and other external parties.
- Performing clerical duties, such as filing, faxing, answering phone calls, and responding to emails
- Other duties as assigned.
Experience:
Minimum of 2 years of health care, research and program experience, required.
Education:
Bachelor’s degree from an accredited institution, required. Master of Public Health preferred.
