DEFINITION: The Marketing and Volunteer Coordinator is responsible for the recruitment, training, and management of volunteers while also overseeing the development and execution of marketing strategies to promote NETCAC’s mission, programs, and events. This dual-role position involves creating engaging content, managing social media platforms, and supporting fundraising efforts, as well as ensuring a positive volunteer experience by coordinating schedules, providing training, and fostering volunteer engagement. This individual will actively recruit, screen, train, support, supervise and recognize volunteers. S/He will perform public relation functions such as coordinating special events, outreach, and public speaking in the community. The ideal candidate will be creative, organized, and passionate about advancing our mission and supporting children and families who have experienced trauma.

RESPONSIBILITIES

A. Volunteer Coordination (40%)

Volunteer Recruitment:

  • Develop and implement strategies to attract and recruit volunteers from various channels (e.g., community outreach, online platforms, events).
  • Maintain partnerships with local organizations, schools, businesses, corporations, and other community groups to build volunteer networks.

Screening and Interviewing Volunteers:

  • Review volunteer applications, conduct interviews, and assess volunteers' skills, interests, and availability.
  • Perform reference checks and ensure background checks are conducted, as required by the organization's policies and standards.

Volunteer Coordination:

  • Organize and lead orientation sessions for new volunteers to introduce them to the nonprofit’s mission, policies, and procedures.
  • Provide ongoing training and development opportunities to ensure volunteers are equipped with the knowledge and tools needed to succeed.
  • Ensure volunteers complete all required training prior to performing duties.
  • Coordinate volunteer schedules, ensuring that there are sufficient volunteers for all events, programs, and services.
  • Match volunteers with appropriate tasks based on their skills and preferences
  • Develop strategies to recognize and appreciate volunteers’ efforts, such as thank-you notes, awards, and recognition events.
  • Maintain positive relationships with volunteers, addressing concerns and providing support.
  • Conduct surveys and gather feedback to assess volunteer satisfaction and improve the volunteer experience.
  • Collaborate with other departments or team members to integrate volunteers into the organization’s programs and activities.

Volunteer Program Development:

  • Continuously assess organizational needs and identify ways to enhance the volunteer program.
  • Propose new volunteer initiatives, events, or programs to increase participation.
  • Evaluate volunteer performance and provide constructive feedback to improve effectiveness.

Data Management, Reporting, and Compliance:

  • Ensure all volunteers adhere to the organization’s policies, guidelines, and safety standards.
  • Stay up to date on legal and regulatory requirements for volunteers, ensuring compliance with local, state, and federal laws.
  • Ensure compliance with all federal and state accreditation standards for volunteers as set forth by the National Children’s Alliance and the Children’s Advocacy Centers of Texas.
  • Track volunteer hours, roles, and contributions through the volunteer management system.
  • Prepare regular reports for the leadership team on volunteer engagement, retention, and impact.

B. Marketing Coordination (25%)

Develop and Execute Marketing Plans:

  • Create comprehensive marketing strategies to promote NETCAC’s mission, programs, and events.
  • Develop short-term and long-term marketing campaigns to increase awareness, drive engagement, and support fundraising goals.
  • Coordinate with other departments to create content calendars for a variety of Center activities and programs for all platforms.

Content Creation, Social Media and Website Management:

  • Write and edit compelling content for various marketing materials, including newsletters, blog posts, press releases, social media updates, brochures, and flyers.
  • Ensure all content aligns with the NETCAC voice, mission, and values.
  • Manage and update NETCAC’s social media accounts with relevant content.
  • Monitor social media engagement, respond to comments, and create opportunities for online community interaction.
  • Maintain and update the organization’s website content, ensuring alignment with messaging and various audiences with current content, news, and events.

Email Marketing and Communications:

  • Design and send out email newsletters, campaign updates, and calls to action to the nonprofit’s supporters.
  • Segment email lists to target specific groups for tailored communication (e.g., volunteers, donors, event attendees).
  • Track email campaign performance and adjust strategies for better engagement.

Event Planning, Promotion and Marketing:

  • Assist in the planning, organizing, marketing and promotion of Center-sponsored events, such as the annual golf outing, Angel Tree, and Child Abuse Awareness Month activities, and any other fundraisers, Multidisciplinary Team training, volunteer opportunities, and community outreach.
  • Design event marketing materials, including invitations, posters, and digital graphics.
  • Coordinate event publicity, including partnerships, media outreach, and online promotions.

Fundraising Support:

  • Collaborate with the development team to create marketing materials that support fundraising campaigns (e.g., donation appeals, crowdfunding campaigns).
  • Use marketing strategies to help grow donor relationships and encourage recurring donations.
  • Assist with donor stewardship communications, including thank-you notes and impact reports.

C. Community Outreach (25%)

  • Develop and implement outreach strategies to engage community members, stakeholders, and partners.
  • Organize and attend community events and meetings to promote the organization’s mission and programs.
  • Build and maintain relationships with local organizations, businesses, and community leaders.
  • Manage volunteer recruitment, training, and coordination for outreach activities.
  • Create outreach materials, including flyers, newsletters, and social media content.
  • Provide support to the Community Education program and other external-facing programs and events.
  • Track and report outreach efforts, measuring engagement and impact.

D. Other (10%)

  • Other duties as assigned.

QUALIFICATIONS

E. Education

  • Bachelor’s degree preferred; two-year degree or high school diploma considered, OR equivalent experience.

F. Skills

  • Task- and time-management skills required with great attention to detail and planning.
  • Strong communication and interpersonal skills required.
  • Public speaking and presentation skills required.
  • This is a very public-facing position, so enthusiasm, flexibility, creativity and self-motivation will ensure success.

G. Knowledge & Experience

  • Experience managing an organization’s online presence via social media and other online platforms with a focus on reaching various audiences with targeted messaging is highly preferred.
  • Experience working in a non-profit environment and recruiting and training volunteers is preferred.
  • Knowledge of victim services preferred but not required.
  • Knowledge of Microsoft Office, Zoom, Canva, and any fundraising or volunteer databases is preferred.

TRAVEL REQUIREMENTS

  • 10-20% local travel required.

SALARY

  • Salary range based upon education and experience.
  • Bilingual pay for qualified candidates.
