JOB SUMMARY
Thisposition is responsible for managing the day-to-day administrative operationsof an assigned clinic.
MAJOR DUTIES
Directs front desk operations to ensure efficiency, effectiveness, and the delivery of quality customer services.
Manages clinic inventories and ensures the availability of materials and equipment; reorders as needed.
Ensures departmental compliance with health center policies and regulations; requires knowledge and understanding of Medicare certified accreditation standards.
Ability to represent program and communicate / coordinate clinic operations within various departments of the Cherokee Nation Health system.
Oversees patient, doctor, and student scheduling and exam room assignments.
Ensures patients receive care in accordance with Cherokee Nation Contract Health Services guidelines; provides instruction on guidelines to faculty and students.
Enters new referral orders for services not available within facility per doctor’s instructions and manages ongoing care orders to ensure patients receive care in accordance with Cherokee Nation Contract Health Services guidelines; provides instruction on guidelines to faculty and students regarding qualifications for contract health coverage.
Communicates with outside providers to ensure adequate information for patient care and surgical scheduling is provided; requests information to coordinate continuity of care.
Enters information into a variety of databases including two Electronic Health Record (EHR) systems.
Directs and participates in the completion of billing records; ensures regular and timely distribution.
Approves optical dispensary staff, optometric assistants, and front desk staff leave requests; reviews and approves time cards; completes employee evaluations; disciplines employees.
Participates in ongoing selection of optical and optometric staff hiring as needed. Coordinates training and cross training of employees to ensure all necessary positions are covered on a daily basis to ensure efficient clinic operations and patient care.
Ability to learn optometric medical terminology and skills needed throughout the clinic to provide patient care support including but not limited to optical dispensary, pre-testing and optometric imaging.
Ability to cover various staff positions on short term-basis and train new staff as needed.
Provide orientation regarding health center policies and regulations to incoming clinicians including students, ex terns, residents and new faculty.
Receives frequent communication for staff absences and rearranges clinic assignments to ensure efficient clinic operations and patient care.
Completes daily, monthly, quarterly and other periodic production, quality review, and statistical analysis reports.
Directs the maintenance of clinic equipment and facilities.
Performs related duties as assigned.

SUPERVISORY CONTROLS
The Clinical Management Coordinator and Clinic Chief assignwork in terms of general instructions. The supervisors spot-check completedwork for compliance with procedures, accuracy, and the nature and propriety ofthe final results.
GUIDELINES
Guidelines include Health Insurance Portability andAccountability Act requirements, Cherokee Nation policies, federal and state regulationsregarding health care operations, employee safety standards, and university andcollege policies and procedures. These guidelines are generally clear andspecific, but may require some interpretation in application.
COMPLEXITY / SCOPE OF WORK
The work consists of related management duties. Strict regulations and policies contribute to the complexity of the position.
The purpose of this position is to manage day-to-day clinic operations. Success in this position contributes to the efficiency and effectiveness of those operations.

PHYSICAL DEMANDS / WORKENVIRONMENT
The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light and heavy objects. Employee will be exposed to a clinical setting where bio-hazards exist. The employee distinguishes between shades of color and utilizes the sense of smell.

SUPERVISORYAND MANAGEMENT RESPONSIBILITY
Thisposition has direct supervision over assigned personnel including opticians,optometric assistants, patient access representatives, and other administrativepersonnel.
MINIMUM QUALIFICATIONS
Bachelor degree in related field and five years’ experience in a healthcare setting.
Possession of or ability to readily obtain a valid driver’s license issued by the State of Oklahoma for the type of vehicle or equipment operated
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship / internship or having had a similar position for one to two years.
Annualsalary $42, with excellent benefits, including generous leave time.
