Job Summary
The Project Manager’s primary responsibility is overseeing and managing multiple projects across the division, ensuring alignment with division goals, timelines, and budgets. This includes coordinating resources, monitoring project progress, providing regular updates to leadership, and supporting the division’s accreditation and standards compliance. The Project Manager also plays a key role in improving project efficiencies and supporting teams in meeting strategic objectives.
Minimum Qualifications
Advanced project management skills, with experience using tools like Microsoft Project, Asana, or other project management software. Demonstrated ability to manage multiple projects simultaneously, with a proven track record of delivering projects on time and within budget. Knowledge of financial tracking and resource management within a project context is highly preferred. Ability to communicate effectively with team members, leadership, and stakeholders. Ability to demonstrate strong problem-solving, decision-making, and organizational skills. A bachelor’s degree in Project Management, Business Administration, or a related field is required, with a preference for candidates with PMP or equivalent certification. Minimum of five to seven years of relevant experience in project management, preferably in a higher education, police academy, or large organizational environment.

Key Responsibilities & Accountabilities
Project Management (40%):
- Lead the planning, execution, and closing of multiple projects within the division.
- Develop comprehensive project plans, including timelines, resource allocation, and budget tracking.
- Collaborate with division leadership to ensure project goals are aligned with strategic priorities.
- Monitor project progress and adjust plans as necessary to meet deadlines and budget constraints.
- Provide regular updates to leadership, including project status reports, risk assessments, and issue management.
- Facilitate communication across teams and departments to ensure project objectives are clearly understood.
- Manage project documentation and ensure all deliverables are met according to defined standards.
- Identify and mitigate project risks, proactively resolving any issues that may impact project outcomes.
- Coordinate with human resources and finance teams to ensure proper staffing and resource allocation for projects.
- Support the division’s strategic planning process by providing input from a project management perspective.
- Direct and mentor team members involved in specific project tasks, ensuring clarity of roles and responsibilities.
- Assist with administrative functions related to project logistics, including procurement, documentation, and reporting.
- Work closely with department heads to resolve project-related issues and provide solutions to meet operational needs.
- Lead efforts to maintain compliance with accreditation standards, including tracking and implementing necessary updates.
- Oversee the division’s adherence to established police accreditation standards, such as CALEA (Commission on Accreditation for Law Enforcement Agencies) or similar regulatory bodies.
- Ensure that all necessary documentation and reports related to accreditation are complete, accurate, and submitted on time.
- Coordinate internal audits and reviews to ensure compliance with national and local standards.
- Serve as the primary point of contact for accreditation bodies and manage the re-accreditation process.
- Develop and implement strategies to enhance adherence to professional standards and best practices within the division.
- Oversee the recruitment, onboarding, and hiring processes for the division, ensuring alignment with organizational needs and policies.
- Collaborate with the Human Resources team to streamline the hiring process, including job postings, candidate selection, interviews, and onboarding.
- Manage division-wide employee onboarding processes, ensuring a smooth transition for new hires.
- Provide administrative support to the police academy, facilitating the scheduling of classes, tracking course participation, and managing resource allocation.
- Handle logistical aspects of academy operations, ensuring all necessary resources are available for academy training sessions.
- Work with leadership to ensure all academy activities are in compliance with regulatory standards and institutional policies.
- Support the professional development and training of division personnel, coordinating training schedules and ensuring compliance with applicable standards.
