The Department of Health Sciences, within the College of Health and Human Services (CHHS), is home to some of NAU’s fastest growing undergraduate degree programs and currently serves approximately 1,800 undergraduate and graduate students. The department is a true multidisciplinary unit, providing six different undergraduate degree programs in five unique disciplines (Public Health, Nutrition and Foods, Allied Health, Fitness Wellness, and Physical Education Teacher Education), along with the Master of Public Health degree, and an Interdisciplinary Health PhD degree between CHHS and the College of Social and Behavioral Sciences. The Health Sciences Department at Northern Arizona University, Flagstaff Campus, has an opening for a part-time Administrative Assistant, Int. to work 20 hours per week in support of our academic office. The Administrative Assistant, Int. position will perform a variety of independent office/administrative duties related to program support for Health Sciences. This role will require the ability to work across internal and external stakeholders. Using specialized functional knowledge to analyze and respond to administrative matters, the duties of this position are to ensure the department’s needs are being met and University procedures and policies are being followed.
Grant Administration Support - 50%
Administrative support for research active faculty in the department to include providing guidance and creation of various Service Tickets for PI’s to include:
- Facilities Work Orders
- HR Tickets
- ITS Tickets
- Purchasing Tickets
- Non-travel Reimbursement Tickets
Office Administrative Support - 45%
- Liaison for ticket communication: replies to requests for additional information/clarification and requests for documentation.
- Assists with coordination of meetings, schedules, and special events.
- Event Planning support including catering, venue and equipment rental.
- May monitor and coordinate the activities of student workers.
- Assist department with basic technological support, troubleshooting and operational matters.
- Work with large poster printer and assist students and faculty with printing posters for events.
- Purchase and reconcile department Pcard.
- Maintains and inventories department technology.
- Maintain inventory of office supplies.
- Assist with maintenance of office equipment.
Other - 5%
- Other duties as assigned.
- Requires high school diploma.
- No prior experience required.
- Project administration experience.
Knowledge
- Knowledge of standard office policies and procedures.
- Knowledge of supplies, equipment, and/or services ordering and inventory control.
Skills
- Records maintenance.

- Proficient in English composition, grammar, spelling and punctuation, and basic math.
- Microsoft Office Suite (Word, Excel, PowerPoint).

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary range begins at $18.57 an hour. Salary commensurate with candidate's qualifications and related experience.
This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.
This is a part-time, non-benefit eligible position.
