EXECUTIVE DIRECTOR Part-Time POSITION DESCRIPTION

Monday – Thursday 9:00 am to 5:00 pm

Additional meetings as needed

The Executive Director is the key management leader of the Northern California Dental Society (NCDS). The Executive Director is responsible for all administrative duties and overseeing the administration, programs and strategic plan of the organization. Under the Executive Officers and Board of Directors, performs a wide range of difficult to complex administrative activities related to finance and accounting, marketing and promotion of services, and discretionary activities that serve to support effective business operations. The Executive Director uses considerable independent judgement in decisions that influence operations. The Executive Director advises and assists the Executive Officers and Board of Directors in planning, policy and operations matters.

Works with Executive Officers and Board of Directors in order to fulfill the organization mission.

  • Responsible for leading NCDS in a manner that supports and guides the organization’s mission as defined by the Executive Officers and Board of Directors.
  • Responsible for communicating effectively with the Executive Officers and Board of Directors providing, in a timely and accurate manner, all information necessary for the Board to function properly and to make informed decisions.

Develops resources sufficient to ensure the financial health of the organization

  • Responsible for the fiscal integrity of NCDS, to include submission to the Board of a proposed annual budget and monthly statements, which accurately reflect the financial condition of the organization.
  • Responsible for fiscal management that generally anticipates operating within the approved budget, ensures maximum resource utilization, and maintenance of the organization in a positive financial position.
  • Responsible for Continuing Education courses necessary to support the Membership and their staff for license renewal.

Works with Executive Officers and Board of Directors to ensure that the mission is fulfilled through programs, strategic planning and community outreach.

  • Responsible for implementation of Continuing Education programs that carry out the organization’s mission and supports the membership and their staff for license renewal.
  • Responsible for strategic planning to ensure that NCDS can successfully fulfil its Mission into the future.
  • Responsible for the enhancement of NCDS’s image by being active and visible in the community and by working closely with other professional, civic and private organizations.

Oversees and implements appropriate resources to ensure that the operations of the organization are appropriate.

  • Responsible for effective administration of NCDS operations

PROFESSIONAL QUALIFICATIONS:

  • AA Degree or higher
  • Extremely organized and self-motivated
  • Transparent and high integrity leadership
  • Strong written and oral communication skills
  • Excellent interpersonal and customer service skills
  • Solid, hands-on, budget management skills, including budget preparation, analysis, decision-making and reporting
  • Strong organizational abilities including planning, delegating, program development and task facilitation
  • Ability to convey a vision of NCDS’s strategic future to staff, board, volunteers and donors
  • Skills to collaborate with and motivate board members and other volunteers
  • Ability to manage conflicts and problems

KNOWLEDGE

  • Office Professional (Word, Excel, Outlook, Publisher, Access, Power-point, Quicken, Print Shop
  • Principles and practice of business administration including program budgeting, general accounting and fiscal management practices, office procedures and business operating system.
  • Appropriate methods and means of dealing with human behavior situations in a variety of business circumstances.

DUTIES

  • Serves as chief executive officer and implements association operations.
  • Coordinates, implements and attends all board meetings and Continuing Education courses.
  • Coordinates and organizes articles for the publication of the ROOTS newsletter; annual Membership Directory and Continuing Education booklets.
  • Recommends new policies or changes to existing policies – operational and public, ensuring policies do not conflict with state and national policies when applicable.
  • Plans, organizes, directs, and coordinates programs and activities of the society.
  • Assesses and provides leadership in ensuring that society activities serve the objectives of the society and its members.
  • Promotes a professional and responsive reputation of the society to the public, members, and business partners.
  • Keeps leadership informed on all society matters, and assists them in carrying out their responsibilities.
  • Assists the Treasurer and Finance Committee in preparing the annual budget. Monitors the accounting system. Reviews and keeps accurate records of accounts payable, payroll and other financial warrants, receipts and report.
  • Any additional duties and responsibilities as assigned by the Board of Directors.

GENERAL OVERVIEW

Responsible for the fiscal integrity of NCDS, to include submission to the Board of a proposed annual budget and monthly financial statements, which accurately reflect the financial condition of the organization.

Responsible for fundraising and developing other resources necessary to support NCDS’s mission.

Responsible for organization and implementation of NCDS’s Continuing Education Courses.

Responsible for the publication of the ROOTS newsletter; annual Membership Directory and Continuing Education booklets, Continuing Education advertising.

Responsible for strategic planning to ensure that NCDS can successfully fulfill its Mission into the future, thus promoting the objective and goals of the dental society.

Provides administrative assistance to the officers, directors, and committee chairpersons in fulfilling their duties and approved projects.

Represents the Northern California Dental Society as needed in society related business.

Assists individual members of the society with a wide variety of issues on an ongoing basis and in keeping with the high standard of business ethics.

Promotes public relations and serves as the liaison between the community and the dental profession.

Maintains manuals and policies established by the American Dental Association, the California Dental Association and the Northern California Dental Society.

Establishes and maintain relationships with other component dental Executive Directors throughout the state and utilizes those relationships to strategically enhance NCDS’s Mission.

Assesses operational, program and fiscal needs; evaluates fiscal and administrative problems; works irregular hours and often under pressure conditions; maintains order in an environment of changing priorities.

Pay: $40,000.00 - $45,000.00 per year
