Northern California Retina Vitreous Associates Medical Group is seeking a vibrant, enthusiastic and organized go-getter to fill our Surgery Scheduling Specialist position. Our retinal practice is a fast paced, dynamic environment with 41 years of experience. We require people who are flexible, professional and up to the task of having a positive influence and be a team contributor. This is a full-time position for our San Mateo office location. This position is on-site, Monday to Friday from 8:30am to 5:30pm.
Summary of Responsibilities
Responsible for all aspects of surgery scheduling and coordination. Position requires accuracy, thoroughness, and a good understanding of surgery scheduling process. Must be able to communicate effectively with patients, surgery centers, other provider’s office and team members in other departments.
List of Responsibilities/Duties :
- Coordinate and schedule surgeries for patients for all locations including emergency surgeries
- Maintain surgery schedule, including surgery cancellations and rescheduling
- Review Pt Tasks for surgery scheduling and other surgery related tasks
- Verify insurance eligibility for surgery and obtain authorization if required
- Actively update surgery scheduling checklist and authorizations tracker
- Provide NCRVA fees for self-pay patients, Provide financial coordinator info for surgery center
- Identify appropriate date and time for surgery, Confirm surgeon availability
- Identify schedule conflicts, notify doctor’s schedule to request blocking of clinic schedule
- Schedule the surgery in Athena and with surgery center
- Schedule 1-day and 1-week post ops
- Schedule pre-ops if requested by doctor
- Complete and submit surgery packet
- Review pre-surgery requirements and what to expect with patient
- Review post-surgery care sheet, post-surgery appointments, and directions to surgery center
- Create chart encounters for surgery, pre-op, and post-op appointments
- Retrieve operative notes after surgery and upload to patient’s chart
- Facilitate release of surgery time slots when requested by surgery center
- Collaborate with the billing team to resolve any issues or concerns surrounding insurance and authorizations for surgeries
- Provide outstanding customer service to patients and develop and maintain positive working relationships with staff from other departments
- Help train new staff members on surgeries
- Assist management with other tasks as necessary
- Follows written and verbal directives from management.

Minimum Education Requirements :
- High school diploma or GED.
- Good verbal and written communication skills.
Minimum Background Requirements :
- One year's experience in surgery coordination preferred.
- Customer service in a patient care setting required.
- Knowledge of basic computer skills such as Microsoft Office Suite (Outlook, Word, Excel, SharePoint, etc.)
Minimum Demonstrated Skills :
- Fluency in Spanish is a plus!
- Performs daily activities of scheduling and reviewing instructions with patients for procedures
- Cheerfully answers patient inquiries in person and on the phone.
- Assists patients willingly, professionally, and accurately.
- Always maintain patient confidentiality and communicate with the compliance officer regarding procedural changes and concerns.
- Cooperates and communicates with all staff members and physicians.
- Participates in professional development efforts to stay current on insurance coverage changes and regulatory matters.
- Demonstrates a willingness to help as needed in all patient service roles.
- Complies with all other company policies and procedures including punctuality, attendance, dress codes, and health and safety policies and procedures.
- Word processing and computer experience required.
Physical Demands :
- Regularly required to use hands to type, handle or feel.
- Ability to sit for long periods of time, with occasional bending.
- Must on occasion lift and/or move up to 20 pounds.
- Must be able to view and enter data into the computer for extended periods.
- Must be able to communicate via the telephone.

Pay: $26.00 - $30.00 per hour
