Job Summary
A Documentation and Development Specialist in Behavior Health plays a crucial role in ensuring the accurate and timely documentation of client progress and treatment plans in a behavioral health setting. They are responsible for reviewing and summarizing clinical progress notes, treatment plans, and related documentation to assist in providing high-quality care, compliance with regulations and continuity of care.
- Thoroughly review and analyze progress notes and other relevant documentation in accordance with Northern's polices and procedures.
- Ensure that all documentation is complete, accurate, and compliant with legal and regulatory requirements.
- Extract essential information from progress notes, including patient history, treatment goals, interventions and outcomes.
- Organize and summarize this data in a clear and concise manner.
Quality Assurance
- Identify any discrepancies, errors, or inconsistencies in the documentation and communicate these findings to the appropriate supervisor for correction.
Confidentiality and Privacy
- Maintain strict confidentiality and adhere to HIPPA (Health Insurance Portability and Accountability Act) regulations when handling patient information.
Communication
- Collaborate with clinical staff, including the Director and Clinical Managers to ensure that the documentation accurately reflects the client's progress and treatment plan.
- Collaborate with IBHS staff regarding corrections needed and how to address the corrections.
Reporting
- Provide summary report of staff notes that need to be addressed to ensure billing occurs.
Compliance
- Stay current with relevant laws, regulations, and industry standards related to behavioral health documentation.
Training and Education
- Attend and assist in providing and guidance to clinical staff on proper documentation techniques and requirements.
- Administrative Support
- Assist in maintaining organized client records in Northern's electronic records (EHR) system.
Complete other duties as assigned.
Basic Skill sets
- Ability to communicate and interact with staff and consultants.
- Ability to assess consumer treatment needs and apply appropriate therapeutic interventions.
- Ability to effectively present information and respond to questions from consumers and collateral agencies.
- Ability to give clear and concise oral and written instructions.
- Working knowledge of the behavioral health system. Knowledge and ability to navigate other social service systems.
- Ability to respond in a culturally competent manner to consumer issues.
- Understanding psychosocial assessment and treatment planning.
Qualifications
- Bachelor's degree in a related field (e.g., psychology, social work, health administration) is preferred.
- Previous experience in a behavioral health or healthcare setting is highly advantageous.
- Strong attention to detail and the ability to maintain accuracy while handling large volumes of documentation.
- Knowledge of HIPPA regulations and the ability to maintain patient confidentiality.
- Proficiency in using electronic health record (EHR) system and other relevant software.
- Excellent communication and interpersonal skills to collaborate effectively with clinical staff.
- Strong organizational and time management skills.
Physical Capabilities and Work Environment
- Ability to walk up and down stairs.
- Ability to lift 20 lbs.
- Ability to operate a computer, printer and calculator
- Ability to operate a motor vehicle or access public transportation.
- Requires some flexible work schedules: evening and weekend hours.
