Northern Manhattan Rehabilitation & Nursing Center is now hiring an experienced Nursing Staff Scheduler / Secretary . The Nursing Staff Scheduler / Secretary position exists to provide staffing coordination to assure that the highest degree of quality resident care is maintained at all times. This position must work effectively with team members in ensuring that work is accomplished in a timely, effective, well organized, and safe manner, while focusing on delivering quality resident care. The position must also manage the resources that are available to them in their job.
Nurse Staff Scheduler / Secretary Essential Job Duties include but are not limited to the following :
- Manages daily, weekly, and monthly staffing schedules for the nursing department based upon census by unit in accordance with state staffing guidelines.
- Collaborates with the Administration, Director of Nursing, and Human Resources in following a master schedule to ensure all units / shifts are always adequately staffed.
- Communicates with Administration, Director of Nursing / designee, Human Resources and / or payroll staff regarding employee staffing related matters as needed.
- Forecasts and manages schedule distribution taking into consideration PTO requests, holidays, FMLA and personal leave as well as open positions to ensure efficient nursing staff coverage is maintained including on the weekend / holiday.
- Receives requests for shift changes or other scheduling changes timely, as well as communicate and distributes revisions to the original schedule.
- Alerts nursing supervisors of call-ins and assists with securing replacements if needed, as well as keep and maintain attendance and tardiness logs for all nursing staff and reports excessive absenteeism and tardiness to DON and HR
- Assists payroll with timesheet edits and bonuses, as well as monitors time clock punches and notifies DON of developing trends.
- Assist with missed punches, and the reviewing and approving of timesheets at the end of each pay period.
- Tracks hours daily for nursing staff and agency usage (if used) and reports to DON and Administrator.
- Reviews and approves all agency invoices to punches on timecards and reports any discrepancies.
- Assures that the scheduling software accurately reflects staff on the floor.
- Creates and updates facility contact roster for nursing team, as well as assist with the Maintenance of current licenses and certifications of nursing staff.
- Partners with Infection Control Preventionist / designee on scheduling employees for annual Influenza vaccines, physicals, TB testing, etc.
- Enrolls nursing personnel in the use of the time clock.
