What are the responsibilities and job description for the Administrative and Program Support Specialist position at Northern Middlesex YMCA?
Non-Exempt, 40 hours/week
GENERAL DESCRIPTION: This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Ingersoll Administrative and Program Support Specialist creates a safe and positive atmosphere that welcomes and respects all individuals while receiving, maintaining, and delivering all information pertaining to the Camp Office and Programs.
SKILLS AND COMPETENCIES:
- A positive approach to working with children, staff and parents with excellent communication skills, both written and verbal
- Ability to work in a fast-paced team environment with all levels of management, staff and donors.
- Must be highly attentive to detail and follow through, keep organized, resolve problems, be aware of deadlines and organize workload to meet them.
- Requires both a comprehensive knowledge and utilization of Microsoft Office including Word, Excel and Outlook as well as ability to learn and become proficient in new software such as Camp Brain and Daxco (with training)
- Be open and receptive to constructive criticism, when it is for the benefit of the program, or the staff member’s growth and development.
PRINCIPLE ACTIVITIES:
- Support camp programs such as Camp Ingersoll, Group Rentals, Youth Sports, Facility rentals and future needs.
- Communicating information professionally and efficiently to our YMCA community (parents, families, guardians, schools, community partners)
- Program registration
- Collection of all balances according to YMCA / Camp policies and procedures
- Reporting on revenue, balances, financial aid (FA), and any other requested information
- Collect bad debt for programs
- Provide administrative support to Youth Development Departments.
- Other administrative duties as assigned to support the Childcare/Youth Development departments of the Middlesex YMCA.
OTHER ESSENTIAL DUTIES:
- Support facilitation of teambuilding rental programs and other “off-season” events.
- Support and promote organizational priorities.
- Interpret the YMCA as a membership organization and represent the YMCA positively at work and in the community at all times.
- Facilitate and assist in the evaluation process of all programs
- Update professional knowledge through self-study, research, and conference and workshop participation.
- Cultivates strong working relationships with the YMCA members, staff, program participants and parents.
- Attends all required staff meetings, trainings, and special events.
