Job Description
General Description:
This position supports the Administrative Services department by staffing the reception area and managing daily office tasks. The receptionist will provide high-level customer service to staff, visitors, students and occupants of the College’s facilities. Additionally, this position will organize and maintain filing systems for the Administrative Services department and route official requests for departmental approval.

Duties and Task include:
  • Overseeing the daily meetings schedule
  • Maintaining conference rooms, greeting guests, distributing mail and responding to email.
  • Departmental support will involve assisting the Office of Risk Management with obtaining and filing claim documentation, data entry, submitting work orders, submitting supply orders and payment requests, and performing electronic receiving as necessary.
  • Managing administrative tasks spanning a variety of departmental programs, including but not limited to risk management, leased operations, inventory and receiving.
  • The administrative assistant will provide high-level customer service in a professional business environment and must be comfortable utilizing a multitude of computer software programs to perform daily tasks.


Employees must reside in Virginia, Maryland or District of Columbia.


Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

  • Excellent interpersonal communication skills and ability to deal tactfully with people.
  • Ability to build and maintain cooperative and collaborative relationships with colleagues.
  • Strong verbal and written communication skills.
  • Excellent organizational skills.
  • Great attention to detail.
  • Ability to manage time and prioritize tasks efficiently.
  • Proficient in emailing, typing, scheduling, note-taking and other basic administrative duties.
  • Basic knowledge of standard office and administrative tools and equipment.
  • Self-motivated individual with the ability to work independently.


Required Qualifications:
  • Experience working in an office environment.
  • Experience in Microsoft Office Suite.
  • Experience using Microsoft Excel to enter, organize and analyze data.
  • Customer service experience.


Additional Considerations
Additional Considerations:
  • Experience working with Virginia State procurement (eVA), accounts payable, accounts receivable processes and policies.
  • Proficient in spreadsheet development and utilizing advanced Microsoft Excel functions.
  • Experience working with Oracle-based applications, such as Peoplesoft AIS.
