What are the responsibilities and job description for the Associate Registrar, Medical Education Campus position at Northern VA Community College?
Effectively manages the Enrollment Services Center, ensuring accurate and timely information is provided to new, current, and returning students on a broad spectrum of student services. Hires, trains, and supervises Enrollment Services Center staff members. Handle highly sensitive and complex issues confidentially and in keeping with college and VCCS policies. Processes subpoenas in a timely manner and follow all legal guidelines associated with FERPA and other laws.
- Manages the entire Enrollment Services Center operations, ensuring accurate and timely information is provided to new, current, and returning students on a broad spectrum of student services
- Leads and directs staff to promote and sustain excellent and efficient operation of the registrar’s office.
- Serves as a member of the college-wide Registrars’ Work Group and represent the Annandale Campus in registrars’ monthly meetings.
- Serves as the final review point for Level I the Domicile Appeals.
- Executes special assignments and operations that require restricted SIS access for Social Security number updates, grade changes and various audits;
- Manages the campus senior citizen enrollment and advising process.
- Process subpoenas in a timely manner and follow all legal guidelines associated with FERPA and other state and federal laws.
- Represents the College in court proceedings when required by subpoenas.
- Fosters collaborative working relationships with academic deans, registrars, business managers, CRO staff members and other colleagues.
- Handles all complex Level 1 appeals and incoming domicile cases personally and provide training to staff on domicile determination.
- Conducts outreach programs within the college, community, and with high schools as requested.
- Coordinates the office’s participation in NOVA information sessions, college fairs, high school fairs, transfer fairs and other outreach events as assigned.
- Provides advising to students on international admissions, academics, domicile, FERPA, and college policies and procedures.
- Remains current on degree programs and test interpretation to provide accurate advising information. Assists with student orientation sessions.
- Mentors staff members.
- Follows college’s guidelines and procedures to ensure proper changes in grades.
- Maintains current information on academic renewal, repeat policies, etc. and communicate those policies clearly to students, faculty, and staff members.
- Ensures accurate and timely completion of enrollment verification, grade changes, weekly audits, academic renewals, CRT reports handled by registrar.
- Collaborates with the Central Records Office when inquiries arise about transcripts and graduation audits.
- Ensures student problems are resolved efficiently and effectively.
- Consults with appropriate college and campus departments in resolving student issues.
- Ensures accurate and timely entry of transfer credits and test scores.
- Make regular requests from employees for updates and input on college decisions and share feedback with supervisors for inclusion in the NOVA Brief
***All applicants must reside in Virginia, Maryland or District of Columbia.
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

- Supervisory experience in an office setting.
- Available to work one evening per week.
- Prior work experience in a community college Registrar’s office.
- Proficient in English and a second language.
