Reporting Relationships Reports To: Chief Program Officer Coordinates With: All staff as well as students and employers directly and indirectly associated with NWTC programming.
Essential Functions The Short-Term Training Coordinator is responsible for supporting the Chief Program Officer in managing all aspects of short-term training programs. This includes overseeing the recruitment and selection of candidates, coordinating pre-course requirements, and facilitating the onboarding process of students. The coordinator ensures the smooth operation of training programs by managing enrollment paperwork, ordering materials, maintaining attendance records, and providing wraparound services to students throughout the program. Additionally, the role involves organizing key events such as mock interviews, graduations, and hiring events, as well as monitoring and documenting job placements post-training. The coordinator also ensures program effectiveness by distributing and collecting student satisfaction and job placement surveys.
Short-term Training Coordination: * Coordinate the recruitment process, including filtering applicants based on survey responses, conducting initial phone interviews, and scheduling follow-up interviews. * Notify selected candidates via phone and letter and manage the distribution of pre-course requirements. * Assess the need for wraparound services prior to training and coordinate these services as required. Page 2 * Facilitate the orientation of selected students and ensure the completion of all enrollment paperwork and documentation. * Order books, tools, and materials for training programs and collaborate with instructors to ensure timely acquisition of necessary resources. * Construct attendance sheets, take attendance, and report attendance to industry partners as required. * Serve as the day-to-day point of contact for students, instructors, speakers, and designated company representatives throughout the training program. * Address attendance issues, report Code of Conduct violations, and ensure the cleanliness and organization of shared lab spaces. * Inventory and secure all tools, tooling, equipment, and tool boxes both prior and following programming. * Assist program participants with resume completion and coordinate mock interviews and graduation events. * Collaborate with the Manager of Placement to invite industry sponsors and prospective companies to hiring events. * Monitor and document the placement of candidates upon program completion and distribute job placement surveys at 30, 90, and 180 days. * Distribute and ensure the completion of student satisfaction surveys for all short-term training programs. * Quarterly placement follow-up for three years post completion. * Provide administrative support and complete reports assigned by the Chief Program Officer.
Qualifications : * Bachelor’s degree or above. At least 2-3 years of program coordinator/management experience, preferably in the workforce development sector, required.
