Our President, Personal Office®, and Lead Advisor seeks a high-performing professional eager to grow by supporting a dynamic executive team within a high-growth financial advisory firm. This role is crucial in optimizing the President's time and tasks for maximum efficiency. As the primary administrator, the candidate will facilitate communication and execution between board members and executives while managing administration, meeting preparations, and priority projects.
This role requires managing the President’s multiple responsibilities, ensuring success across executive and advisory functions. A strategic, proactive approach is essential to drive exceptional results through optimized processes and systems.
Required to be onsite at the Deer Park, IL office 4 days a week.
Essential Functions
- Oversee task management to ensure timely execution of priorities, deadlines, and follow-ups
- Manage an active calendar of meetings, events, and appointments
- Coordinate and plan all meeting details including securing a conference room, catering needs, IT and media needs, and other arrangements
- Direct incoming emails and calls, contact management, coordination, and preparation for meetings
- Manage the President, Personal Office’s email inbox to ensure prompt attention, responsiveness, and follow-through in partnership across multiple team members and departments
- Create meeting preparation, agendas, and supporting deliverables for executive function meetings
- Participate in executive calls and meetings, including meeting prep, providing notes, and follow-up
- Serve as project manager for firm priorities owned by the President, working with other firm leaders to provide accountability when needed
- Act as a liaison between executives and colleagues to address questions and needs
- Ensure service standards are being always exceeded when managing in-bound client requests
- Act as a liaison between executives and the team who supports the advisory practice
- Continuously improve administrative standards
- Work closely with other colleagues and associates to design and implement improved processes and operational policies
- Arrange and coordinate travel arrangements
- Collect data and documents, maintain and organize project files
- Keep all aspects of CRM (Client Relationship Management system) up to date
- Coordinate special requests and projects
- Learn and adapt to new software and technology, as rolled out by our innovation team
- Manage and coordinate business development efforts, including events and networking
Required Education & Experience
- A bachelor’s degree from an accredited college or university, or equivalent
- 2 years of Executive Administrative related experience at the C-Suite level is required
- Experience in a client facing or financial services industry is preferred
- Record of success in improving processes
- Excellent project management skills
- Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and manage lateral and upwards
- Experience with a CRM database is appreciated (e.g., Salesforce)
- Emotional maturity, professional mindset, and the utmost discretion
- Strong communication skills, both written and verbal
- Ability to operate in fast-paced, team-oriented environment
- Proficiency in all areas of Microsoft Office (specifically PowerPoint and Excel) and Apple iOS mobile
Our Compensation & Benefits
The estimated base pay salary rate for this role is $74,896 - $112,345 per year. Base salaries are determined based on job-related knowledge, skills, experience, and geographical work location. In addition, depending on the role, many roles are eligible for variable pay such as bonuses, commissions, and/or long-term incentives.
