JOB SUMMARY
This position provides a wide range of administrative support to the Director of Career and College Readiness. Specifically, this position supports the Northshore School District Career and Technical Education program for all High Schools and Middle Schools.
DUTIES AND RESPONSIBILITIES
This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved.
- Plans and manages advisory meetings and related events. In addition, this position organizes and monitors advisory meetings and compliance with district wide plans.
- Supports data entry of all CTE staff certifications and compliance related issues, support with CTE frameworks, CIP codes and teacher V-codes.
- Enters, updates, and maintains data in the student information system. Prepares and generates daily and monthly reports.
- Composes, formats, edits, and types correspondence, reports, forms, notices and other related materials; arranges and maintains hard copy files, books and other materials.
- Maintains confidential student data; inputs student registration data, class schedule changes, attendance waivers, accesses student academic history; registers and creates files for new students.
- May manage special assignments as determined by the building administrator; performs related duties consistent with the employee assignment.
REPORTING RELATIONSHIP
Reports to the Director of Career and College Readiness.
WORKING CONDITIONS
Works in an office environment; frequent interruptions; daily and prolonged exposure to visual display terminal; may be required to sit or stand for prolonged periods; requires dexterity; requires ability to lift or carry up to 30 lbs.; occasionally deals with upset parents, students or staff.
MINIMUM REQUIREMENTS
Education and Experience
High school graduation or equivalent with two or more years of office experience involving computer and record-keeping skills; experience working with adolescents and the public; school district work experience preferred. Training in computer operation, secretarial procedures, data entry and/or customer service may substitute on a month-to-month basis for one year of required office experience.
Knowledge, Skills, and Abilities
- Ability to provide effective and efficient customer service and collaborate with district staff, building staff, and public.
- Communicate effectively both in person, email, and phone.
- Detail oriented, organization, and skilled in project management.
- Effectively use Microsoft Office for professional Word documents, Excel spreadsheets, PowerPoint Presentation, and Google Docs programs.
- Proficient in database systems such as Business Plus (budget), Synergy (Student Information System).
- Working knowledge of Career and Technical Education requirements for program frameworks and CIP codes, teacher certification V-codes, CEDARS course code reporting.
- Working knowledge of OSPI EDS and OSPI IGrants system and Federal Perkins Grant requirements.
- Familiarity with college level assessments such as SAT, ACT, PSAT, and Advanced Placement.
SALARY Salary is based upon the current 2024-25 NEOPA Salary Schedule Salary (Level H); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt.
WORK YEAR 8.0 hours per day, 260 days per year.
