What are the responsibilities and job description for the Administrative Assistant I position at Northwest ADHD Treatment Center?
The primary function of the Administrative Assistant I (Admin I) role is to support the behavioral health providers at NW ADHD Treatment Center and act as the first point of contact between patients and visitors to our offices. As the person staffing the front desk, a high commitment to patient service and care is required.
The Admin I usually supports the behavioral health providers at the location where they work, and covers other Admin 1s at other locations when an Admin I is out of office. When they have time off or have to call out for the day, Admin 1s are expected to cover for one another by taking the phone lines, faxes, and other administrative work for the providers of the covered staff member. The Lead Admin will assist in these circumstances as needed to coordinate the coverage of services.
Role Description
This is an on-site position. The main functions of the Administrative Assistant I role are to check in patients coming for in-person appointments, collect payments from patients and accurately update the day-sheet, field phone calls for the behavioral health providers they support, handle incoming/outgoing records and ROIs, schedule group and testing appointments as needed, assist behavioral providers with any testing PAs as needed, respond to patient communication via EHR, schedule appointments for behavioral health providers, monitor general email inbox, process and appropriately distribute incoming faxes, and assist the Administrative Services Manager with office location specific tasks.
Our ideal candidate has the following qualities:
A Bachelor’s degree in Psychology or related field preferred
Must be comfortable talking on the phone and working independently
A warm personality and stellar customer service skills
Is comfortable asking difficult, sometimes awkward questions
Is capable of effectively communicating with distressed patients and providing optimal solutions to their concerns
Experience explaining program requirements and expectations
Excellent communication skills, including using proper grammar and correct spelling
Demonstrates honesty, integrity, and professionalism
Has an exceptional attention to detail and possesses the ability to record patient data and conversations accurately
Familiar with HIPAA and understands the importance of confidentiality
Reliable, punctual, and strong work ethic
Proficient with technology. Experience using an EHR system is preferred but not required
