Position Overview:

The Patient Access Navigator serves as the primary contact for individuals seeking counseling services, overseeing all aspects of the consultation and intake processes for new clients. Responsibilities include screening potential clients via phone and email, processing referrals from medical offices and insurance companies, scheduling initial consultation appointments, completing necessary new patient documentation, and facilitating referrals to community partners when needed services are unavailable. Additionally, the Patient Access Navigator assists patients with rescheduling appointments and utilizes specialized software to securely document client data while ensuring compliance with privacy policies and HIPAA regulations. Fluency in both English and Spanish is essential for effective communication with patients.

  • Monday - Thursday: 8:00 AM - 6:30 PM
  • Friday - Sunday: Closed

Essential Responsibilities:

  • Respond to inquiries over the phone from potential new clients regarding services offered, accepted insurance plans, and appointment availability times.
  • Cultivate and maintain excellent relationships with medical offices and insurance providers that have patient referrals or questions about service availability.
  • Arrange and facilitate consultation assessments with prospective new clients to gather comprehensive information about their mental health history, present concerns, and treatment objectives.
  • Collaborate with clinicians to effectively match new prospective clients with counselors who align with their specific needs and preferences.
  • Conduct a comprehensive review of essential documents with prospective clients, addressing inquiries regarding agency policies, state and federal healthcare laws, and healthcare provider requirements.
  • Assist with scheduling appointments, verifying, confirming, or canceling appointments, and rescheduling as needed.

Qualifications:

Education & Certification Requirement

  • A Bachelor’s degree (BA/BS) in a Behavioral Health field (e.g., Counseling, Psychology, Behavioral Science) or a related QMHA-qualifying degree from an accredited institution is preferred.
  • OR candidates without a BA/BS may qualify by meeting the MHACBO QMHA-R certification requirements, which include a combination of 3 years of education and work experience, with at least 36 quarter credits or 24 semester hours from an accredited institution.
  • Current Qualified Mental Health Associate (QMHA) certification is required. Applicants without a QMHA are encouraged to apply if they meet MHACBO requirements for certification.

Language Requirement

  • Full fluency in both English and Spanish is required.

Other Requirements

  • 1 to 3 years of experience in a mental health practice or a related healthcare environment.
  • Must pass a criminal background check and drug testing prior to employment start date.
