Job Summary
The Supervisor, Central Scheduler is responsible for overseeing the daily operations of the Central Scheduling team, ensuring that all patient appointments are scheduled efficiently, accurately, and in accordance with hospital protocols. This role ensures optimal coordination between patients, physicians, and healthcare staff while maintaining high levels of customer service. The Supervisor will manage a team of schedulers, monitor performance, provide training, and support the implementation of policies aimed at enhancing scheduling processes within the patient support services.
Essential Functions
- Leads, supervises, and supports a team of central schedulers responsible for booking patient appointments for outpatient and inpatient services.
- Oversees the day-to-day scheduling activities to ensure that patient appointments are scheduled in a timely and accurate manner.
- Ensures that all scheduling software and systems are functioning effectively and address any technical issues promptly.
- Conduct regular performance reviews, provide coaching, feedback, and professional development opportunities for team members.
- Monitors and evaluates the quality and efficiency of scheduling processes, identifying areas for improvement.
- Acts as a liaison between the scheduling team, clinical staff, physicians, and other hospital departments to ensure smooth coordination of patient appointments.
- Communicates any scheduling changes, cancellations, or urgent needs promptly to the appropriate stakeholders.
- Addresses patient inquiries regarding appointment scheduling, cancellations, or changes with professionalism and courtesy.
- Provides ongoing training and mentorship to new and existing team members to ensure proficiency with scheduling systems and customer service skills.
- Assists with staffing schedules, payroll administration, and other related administrative tasks.
- Performs other duties as assigned.
- Complies with all policies and standards.
Qualifications
- Associate Degree or higher in healthcare administration, business management, or a related field preferred
- 2-4 years of experience in a scheduling or patient services role within a healthcare setting required
- 1-2 years Prior supervision and/or management preferred
Knowledge, Skills and Abilities
- Strong leadership skills with the ability to motivate and manage a team.
- Excellent communication and interpersonal skills for interacting with patients, physicians, and staff.
- High level of organization and attention to detail, with the ability to prioritize and manage multiple tasks effectively.
- Ability to handle confidential information with discretion and in compliance with HIPAA regulations.
- Ability to work in a face-paced environment.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook), Google suite and scheduling software.
