What are the responsibilities and job description for the Receptionist position at Northwest Indian Fisheries Commission?
Position Overview:
Northwest Indian Fisheries Commission is seeking a Receptionist for our front office. This is an integral role as a first point of contact for visitors a member of our Clerical Team.
This role is required to work on-site at our office Monday-Friday from 8am to 5pm with a 1- hour lunch break.
Key Responsibilities:
- Greet visitors and answer the main office phone and emails directing them to
appropriate staff or tribal officials.
- Open mail, process, and route to staff. Process outgoing mail and deliver it to the post
office daily. Prepare documents/packages for pickup by express couriers. Manage
routing of employee interoffice documents daily.
- Update calendar events, book meetings and resources in Gmail and Zoom as
requested, utilizing NWIFC facilities and video conferencing equipment, or with hotels
and tribal resort/casino facilities. Book travel (hotel and airline) for staff as requested.
Ensure staff have proper travel information.
- Maintain and update Gmail contacts and Google groups (add/change contacts, mailing
address, phone numbers and email addresses).
- Copy, email, and fax projects as requested. Assist with Adobe pdf and Microsoft Word
documents. Compile packets for various meetings.
- Provide meeting support for General Staff meetings by taking minutes, managing
meeting supplies and assist clerical lead with NWIFC special events.
- File and list NWIFC external correspondence and documents in chronological form.
Scan documents into a document management system.
Qualifications:
- High school diploma or equivalent with one year experience in clerical, computer, or
related field.
- Knowledge of basic concepts of current clerical procedures including drafting documents with typing skills of 40 wpm. Knowledge of correct grammar, punctuation,
spelling, capitalization, and formats is essential.
- Knowledge and experience with Microsoft Office and Google applications.
- Professional and courteous telephone manner and demonstrates excellent interpersonal
skills.
- Strong coordination skills and the ability to work effectively in an office team
environment.
- Valid Washington State Driver’s License.
