Job Overview
We are seeking a dedicated and knowledgeable Human Resources Specialist to join our team. This role is essential in supporting various HR functions, ensuring that our organization attracts, develops, and retains top talent. The ideal candidate will possess strong organizational skills and a comprehensive understanding of HR practices, including organization design, succession planning, and performance management.
- HR Tasks:
1)Employee Files
a) current ee files need to be gone through to obtain missing docs or sigs on docs that Amy identified when she did her clean up
b) New employee files need to be created. Labels made and documents put in file folders.
c)I-9’s – I-9’s need to be put in a binder and alphabetized A-Z. Amy left clean up on existing employee I-9’s..ie need ss’s ran through federal check, signatures, or form need completion. New employee I-9’s need to be ran through federal check and completed my NW Jeep.
d) Amy left a stack of docs that need to gone through. Either to be filed, needs sigs, I-9’s completed
e) terminated employee files need to be pulled and put in 2024 box and 2025 box created for terminated employees’
2) Onboarding
a) New hires need to be scheduled for drug tests. Results printed and put in employee medical file. If an employee tests positive for marijuana, employee needs to sign form.
b) Verify employee is added to PBS and all designated permissions are added
c) Employee added to PBS – (personal info, tax designations, pay incomes and deductions)
d) Create new employee file – label, all docs signed, run I-9 through federal system.
e) update employee information on EE List – hire date, vacation/sick pay, draw (if applicable)
f) add employee into Ease system
g) update new employee packet as needed ie 2025 forms, 2025 benefit pricing, etc
3) Off boarding
a)Ensure all termination docs are signed
b) Final Paycheck is completed
c)Pull employee file and place in termination file
d) Ensure employee is removed from all applicable applications and any keys turned in
e) Remove employee from Ease and ensure all benefit vendors have updated information
4) Monthly payments
a) pay monthly premiums on all benefits
b) verify census reports to ensure accuracy of current employees
5) Benefits
a) review monthly for any employees eligible for benefits: Ensure employees know costs and complete EASE either to enroll or decline
b) Open enrollment – start process in October for open enrollment
c)Paid Leave- review process for paid leave, ensure current employee roster, review/reply any employee requests
6) Misc
a) reply/review to any state letters related to employee/past employee requests, ie unemployment, garnishments, child support, etc
b)assist employees with any questions related to HR ie, sick pay, benefits, etc
c)clean up/organize office -box up past year items and move to coop, organize current year items in drawers, filing cabinets
7) Employee Handbook
a) ensure all current/new employees have received handbook and signed off on review
b) any changes/updates identified and made
8) 401k
a) review / updated roster with current employees
b) ensure employees that are qualified to sign up receive information and facilitate enrollment
c) assist terminated employees with transfers as applicable
9) Attendance/PTO
a)track/update absences for employees as needed
b)update attendance tracker with new/terminated employees
c)assist mgrs with write ups for attendance issues
d)assist employees with questions regarding attendance/PTO/sick pay
Job Type: Full-time
Pay: $42,000.00 - $49,000.00 per year
