The WIN Job Center Office Manager serves as WIN Job Center greeter, answer phones, direct traffic, oversee day-to-day office functions/activities, enroll eligible participants in WIOA, maintain participant files and performance outcomes. This is a 12-month staff position reporting to the WIOA Director.
QUALIFICATIONS:
- Minimum 2 years general office/customer service experience, preferred
- Associate’s Degree preferred; proven ability to work with public
- Must possess excellent oral and written communication skills
- Proficient in modern computer applications including Microsoft Office
- Possess the ability to navigate the internet
- Must be professional, detail oriented, organized, and dependable
DUTIES AND RESPONSIBILITIES:
- Responsible for day-to-day operations of the office
- Greet, assist, and direct customers
- Answer telephones and direct customers to appropriate services
- Enroll WIOA eligible participants and provide services, and follow-up activities
- Responsible for keying and updating participants’ data in OESS
- Responsible for WIOA goals and performance outcomes/measures for participants
- Schedule customers for various classes and assessments
- Schedule on-site classes and job fairs/events with employers/partners/etc.
- Assist customers in the Resource Room
- Assist participants with online job registration/applications
- Prepare, copy, and/or fax resumes for customers
- Refer participants to MDES staff for job referrals/services
- Update resource room materials and maintain current information on services that are available through the WIN Job Center
- Prepare the resource room for the day (starting computers, putting the daily newspapers out for customers’ use, and straightening up the area)
- General office tasks, such as, filing, typing, coping, picking up/dropping off mail, etc.
- Responsible for inventorying and ordering office supplies
- Fill-in at other WIN Job Centers when needed
- Assist with follow-up services
- Assist with local job fairs
- Other duties as assigned by the WIOA Director
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong organizational skills with attention to detail.
- Experience using technology including email, word processing, spreadsheet, database, and Internet use.
- Strong interpersonal skills to interact tactfully and courteously with students, faculty, staff, and the general public.
- Ability to collaborate with others and work as part of a team.
- Demonstrate oral and written communication skills to interact with a wide range of diverse individuals.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
While performing the duties of this job, the employee is regularly required to do the following:
- Talk, hear, view, and assist students
- Communicate with others in person and telephone
- Sit, use hands to handle or feel, and reach with hands and arms
- Stand, walk, stoop, or kneel
- Occasionally lift and/or move items of at least 15-20 pounds
