What are the responsibilities and job description for the Operations Management Assistant position at NorthWest Navigator Luxury Coaches?
The Operations Assistant supports the Operations Director and CEO in continuously developing and executing an overall dispatch plan that effectively and efficiently allocates resources for all chartered trips. Performs dispatch as a critical part of core duties. The objective is to ensure no parts of the fleet are unnecessarily idle and only having driver incur OT after all drivers have achieved 40 hours of work, whenever possible.
Responsible for implementing and maintaining an effective system for monitoring and providing feedback to the Operations Director and CEO in the enforcement of dispatch policies and procedures in a timely manner, including short-notice changes and developments.
Hours: Monday-Friday, 8:30am – 5pm average with OT as needed and occasional weekends. Perform Manager-on-Duty (MOD) duties 1-2 time/month, as scheduled.
Pay: $50K, up to $75K depending on experience plus Team monthly performance bonuses available.
Responsibilities
- Responsible for coordinating with Sales, Maintenance and Wash Crew to ensure adequate information is exchanged and the fleet is well maintained and operational at all times.
- Responsible for assisting the Operations Director and CEO in making sure drivers are being effectively managed on a daily basis to maximize productivity and morale. This includes bringing any developing issues or concerns to management’s attention to proactively head off potential issues.
- Supports and coordinates effective interviewing, hiring, onboarding, training and oversight of dispatchers; including coordinating performance appraisals and consequences/rewards management.
- Secondary objectives of the position include:
- This position will assist the management team with updating and maintaining written dispatch processes; policies and procedures that balance the needs of customers, drivers, techs, employees and the company in dispatching decisions.
- Provides input necessary to optimize employee performance, in conjunction with the management team, through effective ongoing evaluations, recognition, rewards and discipline/corrective-management to produce expected results while focused on employee engagement and retention.
- Productively assists in resolving dispatch-driver-sales team issues in a timely manner, while performing core dispatch duties.
- Provides assistance to the Operations Director and CEO in the direction and support to Dispatch in ways that consistently improve performance, efficiency and profitability.
- Works with the Operations Director and CEO to ensure the proper staffing of the driver pool by participating in effectively communicating with Human Resources and recruiting, hiring, onboarding and personnel decisions.
- Knowing the drivers: What types of customers they are best suited for; who they are going to work well with, both clients and other drivers.
Qualifications
- High school diploma or GED required; degree in Business or related field preferred.
- 3 years experience dispatching or performing logistics duties.
- Expertise navigating Microsoft Office tools, especially Excel, and Customer Relationship Management (CRM) or other relevant internal business systems with the ability to efficiently review client data, add and update client data entry, perform data analysis, , generate and utilize trip/travel scheduling reports.
- Ability to communicate verbally and in writing using clear business English.
- Effective communication, documentation, follow through and time management skills.
- Interpersonal and customer service skills which generate effective buy-in, understanding and relationship building.
- Highly organized; able to effectively manage a calendar and task reminders.
- Conflict resolution oriented. Must be able to effectively manage disagreements and overcome driver reluctance/resistance in a constructive manner.
- High confidentiality required! Ability to maintain company confidential data and actions and understand appropriate actions.

- Reliable transportation, as incidental driving may be required from time to time.
- Must secure a Class B Commercial Driver License with Passenger endorsement within 6 months of starting. Training and the cost of license and endorsement will be provided by NW Navigator.
- Ability to pass a criminal background check.
- Ability to pass a drug test, including for MARIJUANA. We are regulated federally by the Dept. of Transportation (DOT).
Salary : $50,000 - $75,000
