This role is responsible for managing administrative tasks, handling accounts receivable, coordinating scheduling, and assisting with hiring and onboarding. Key Responsibilities:
Office Administration:
- Oversee daily office operations to ensure a well-organized and productive work environment.
- Manage office supplies, equipment, and vendor relationships.
- Develop and implement office policies and procedures.
- Handle incoming calls, emails, and customer inquiries professionally.
- Support management with reports, documentation, and administrative tasks.
Accounts Receivable & Financial Support:
- Generate and send invoices to customers.
- Track and follow up on outstanding payments.
- Maintain accurate records of customer accounts and payments.
- Work closely with the accounting team to ensure financial accuracy.
- Process expense reports and assist with bookkeeping as needed.
Scheduling & Customer Coordination:
- Coordinate installation and service appointments with technicians and customers.
- Communicate with customers regarding project timelines and service needs.
- Assist in processing work orders, permits, and required documentation.
HR & Hiring Support:
- Assist with hiring, onboarding, and training new employees.
- Maintain employee records and ensure compliance with company policies.
- Coordinate safety and compliance training for field technicians.
Qualifications & Skills:
- Prior experience in office management, preferably in the security, construction, or service industry.
- Strong understanding of accounts receivable processes and financial record-keeping.
- Proficiency in Microsoft Office Suite and accounting software (e.g., QuickBooks).
- Excellent communication and interpersonal skills.
- Ability to multitask and work efficiently in a fast-paced environment.
Education & Experience:
- Associate’s or Bachelor’s degree in Business Administration, Accounting, or a related field (preferred).
- Minimum of 2 years of experience in office management and financial administration.
Physical Requirements:
- Ability to sit for extended periods and work at a computer.
- Occasionally lift office supplies or equipment (up to 25 lbs).
