About Us
Northwest Women’s Care is a growing and compassionate obstetric and gynecology practice providing exceptional care for women at all stages of life. Conveniently located across the street from Banner Del Webb Labor and Delivery and Medical Center, we are seeking an experienced and highly organized Office Manager to lead our administrative team and ensure smooth day-to-day operations of the practice.
Established in 2019 and steadily growing, our team currently includes 2 front office staff, 2 medical assistants, and 2 providers (DO & PA-C). We specialize in routine women’s health, gynecologic concerns, and pregnancy care.
Key Responsibilities
- Oversee daily office operations, ensuring efficiency and a positive patient experience.
- Supervise front desk staff, medical assistants, and administrative personnel.
- Manage scheduling and workflow for providers and office staff to optimize productivity.
- Handle staff training, performance evaluations, and scheduling to maintain a cohesive team.
- Monitor and improve office policies and procedures to enhance efficiency and patient satisfaction.
- Oversee billing processes, insurance verifications, and financial transactions in collaboration with billing staff.
- Ensure compliance with HIPAA regulations and other medical office standards.
- Manage vendor relationships, supply inventory, and office maintenance needs.
- Address patient concerns and resolve conflicts in a professional and timely manner.
- Assist with hiring, onboarding, and training new employees as needed.
- Collaborate with providers and leadership to support the practice’s growth and goals.
Requirements
- Experience: Minimum of 3–5 years of medical office management experience (OB/GYN or women’s health preferred).
- Leadership Skills: Proven ability to lead, mentor, and manage a team in a fast-paced medical setting.
- Technical Proficiency: Experience with medical office software, electronic medical records (Elation EMR preferred), and Microsoft Office Suite (Word, Excel, Outlook).
- Billing & Insurance Knowledge: Understanding of medical billing processes, insurance claims, and revenue cycle management.
- Communication: Strong verbal and written communication skills with a professional and patient-focused demeanor.
- Problem-Solving: Ability to troubleshoot office issues and implement effective solutions.
- Compliance: Knowledge of HIPAA and healthcare regulatory requirements.
- Organizational Skills: High attention to detail, ability to multitask, and strong time management.
Work Hours
- Full-time position, Monday–Friday.
- Office hours: Monday–Thursday: 8:30 AM – 5:30 PM, Friday: 8:00 AM – 2:00 PM
Compensation and Benefits
- Salary: based on experience and qualifications.
