Reports to: Senior Director of Financial & Business Operations
Hours: 40 hours per week, non-exempt position
Wage Range: $27.96 - $31.78 an hour; wage dependent on relevant experience, education, and qualifications

Key Responsibilities
Operations:
- Responsible for overseeing day-to-day operations, monitoring performance, identifying areas for improvement and implementing changes to streamline processes.
- Ensure smooth functionality by managing, including but not limited to, office supplies, maintenance issues, package handling, copier services, janitorial services and security systems while communicating important information to staff and optimizing efficiency and compliance with company guidelines.
- Coordinate cell phone, laptop and key purchases. Maintain an accurate inventory.
- Maintain reception areas in an orderly manner, stocking supplies as needed;
- Respond to operational issues and emergencies;
- Assist Senior Director of Financial and Business Operations in ensuring adherence to company policies, industry regulations and legal requirements;
- Monitor expenses and work within budget constraints;
- In collaboration with the Senior Director of Finance and Business Operations, ensure Information Technology strategy is defined, planned and mapped for sustainable practices. Be the liaison between staff and IT support services;
- Ensure compliance with OSHA and other safety regulations;
- Oversee the development and continued efforts for Safety Teams and other cross-functional work groups;
- General administrative support;
- Ensure standard operating procedures are created, maintained and communicated to staff;
- Maintain the highest level of confidentiality with organization and executive information
Facilities:
- Supervise the maintenance technician, monitoring and communicating maintenance requests and priorities and ensuring expenses are properly budgeted and reported;
- Ensure facilities are clean, properly maintained and safe;
- Oversee preventative maintenance, repairs and renovations of facilities and leased spaces;
- Support the planning and execution of new facilities;
- Coordinate agency vehicle maintenance, usage, licensing and record keeping. Assist with purchases and sales of vehicles;
- Coordinate with site managers to ensure all sites have the supplies, resources and support they need;

Minimum Qualifications:
- High school diploma or GED;
- Three or more years of experience in a similar role;
- Proven organizational skills, including time management;
- Project management experience;
- Budget management experience;
- Strong analytical and problem solving skills;
- Self sufficiency and an ability to work with minimal supervision;
- Strong verbal and written communication skills;
- Attention to detail;
- Broad knowledge of building repair and maintenance;
- Strong computer skills, with knowledge of Microsoft Office products, Adobe, and other related business and communication tools;
- Proficient with general office machines;
- May need to be available for occasional emergency situations 24/7;
- Must be 21 years of age or older;
- Proof of Washington State Driver’s License, driving record, and auto insurance; and
- Requires background checks.
Required within first 30 days of employment:
- CPR/First Aid/Bloodborne pathogens certifications required;
- Must have a negative TB test; and
- Full understanding of the CPS reporting requirements.
Preferred Qualifications:
- Degree in business, finance, or a related field
- Five or more years of experience in a similar role;
