Development Assistant Job Description
GENERAL RESPONSIBILITIES
The Development Assistant provides support to the Chief Development Officer's (CDO) core functions and the processes and systems related to training and development. Requiring high attention to detail and responsiveness, this position manages the centralized training calendar, the CDO and District Director’s (DD) calendar, ensures smooth execution of training events, and will provide strategic support on special projects as assigned. The Development Assistant will also run key leadership and office reports, including but not limited to daily enterprise reports, contest reports, and CDO tracking reports.
Responsibilities include, but are not limited to:
Administrative Support
• Manage calendars for key leaders, including scheduling meetings, travel arrangements, and reservations.
• Manage calendar invitations and communications for all firm-wide events, including Network Office Days, Quarterly Development Days, and more.
• Assist in drafting and distributing email communications.
Report Management
• Generate and distribute various reports, including daily activity reports, contest tracking reports, and monthly enterprise activity numbers.
• Manage and update recognition presentations and group production sheets for various development days.
• Maintain and update key performance metrics and reports on a monthly basis.
Event Coordination
• Schedule, coordinate, and manage logistics for all training and development events, including Network Office Days, Quarterly Development Days and more.
• Confirm guest speakers and manage invitations for organization-wide events.
• Plan and execute special events, such as firm social events, lunches and other gatherings.
Development Support
• Provide logistical support for leadership and development programs, including study groups, summit groups, and client builder groups.
• Oversee the execution of advisor recognition programs and manage milestone events.
• Assist in preparing materials for the CDOs key developmental meetings and reports.
Miscellaneous
• Provide strategic and logistical support on special projects and training events.
• Additional CDO and DD support as needed.
•Travel between different offices and event locations as required to execute job responsibilities.
QUALIFICATIONS
• Bachelor’s degree preferred.
• 2-3 years progressively responsible work experience, preferably in administrative support, event coordination, or a related field.
• Exceptional organizational and time management skills, with the ability to manage multiple tasks and priorities.
• Excellent communication skills with the ability to build rapport and work effectively with various stakeholders.
• Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) with the ability to learn various software programs quickly.
• Willingness to travel and flexibility in working hours to accommodate event schedules and deadlines. This is an in-person position.
