About the Role:
We are seeking a highly organized and proactive Administrative Assistant to support the Managing Director / Financial Advisor in optimizing daily operations. This role is pivotal in ensuring seamless scheduling, communication, and overall efficiency, thereby enhancing our brand and client experience.
Key Responsibilities:
- Calendar Management: Systematically organize and maintain the Managing Director / Financial Advisor’s schedule, ensuring all appointments are confirmed and time is allocated effectively.
- Meeting Preparation: Prepare agendas, compile necessary documents, and ensure notes are available in the calendar ahead of meetings.
- Client Communication: Facilitate timely and professional communication with clients, addressing inquiries and relaying information as needed.
- Coordination with Partners: Collaborate with joint work partners by sharing CRM records and uploading pertinent notes to maintain alignment.
- Time Management: Anticipate needs to optimize how time is spent, prioritizing tasks to align with business goals.
- Administrative Support: Handle errands, manage correspondence, and assist with miscellaneous tasks to ensure smooth daily operations.
Skills and Qualifications:
- Detail-Oriented: Exhibits meticulous attention to detail, ensuring accuracy in scheduling and documentation.
- Strong Communication Skills: Able to interact professionally with clients and team members, both verbally and in writing.
