Overall Function
Luca Partners is seeking a highly motivated Practice Manager to join their team. This individual will specialize in maintaining an organized and efficient practice to our advisors. They will serve as a liaison between the wealth management advisor and the investment, planning and operations team. The ideal candidate will have superb organization, exceptional attention to detail, and high ownership of responsibilities.
Specific responsibilities may include, but are not limited to:
Advisor Servicing
- Maintain status logs and updates internally for each active case file and prepare summary reports for weekly meetings
- Gather client information at direction of Advisors in preparation for client/prospect meetings
- Maintain current client information in CRM system
- Tracking/reminders for assigned advisor to ensure timely completion
- Daily check ins with Wealth Advisor on outstanding action items.
- Complete client service requests
Administrative
- Answer and handle telephone calls as appropriate
- Manage Advisor emails in Outlook
- Maintain calendar and schedule client appointments as needed
- File new statements, account forms, and other business-related materials
- Maintain current client information
QUALIFICATIONS
- Bachelors Degree preferred
- 2-5 years experience in administrative support or customer service, strongly preferred in the financial services and/or insurance industry
- Demonstrated organizational and time management skills and ability to multitask, set priorities, and meet deadlines
- Strong attention to detail with the ability to work with a high degree of accuracy
- Self-motivated with a strong desire to learn
- Excellent oral and written communication skills
- Ability to work in a fast-paced environment
- Ability to work both independently and on a team
- Ability to maintain confidentiality
- Proficient in Microsoft Office applications Outlook, Word, Excel
