About Us:
We are a dynamic and growing manufacturing company seeking a motivated and detail-oriented Office Assistant to join our team. This role will primarily focus on administrative support and accounting tasks using QuickBooks Online. We have a modern clean climate controlled manufacturing facility just off Bunker and Hwy 65 so convenient to all areas.
Key Responsibilities:
- Manage accounts payable and receivable in QuickBooks Online.
- Reconcile accounts, prepare invoices, and handle financial transactions. Pay the bills. Check the mail, and review as needed.
- Maintain organized digital records and ensure accurate documentation.
- Provide administrative support to employees as needed - mainly timeclock adjustments.
- Assist in preparing reports and financial summaries (Income Statements, Balance Sheets, Cashflow)
- Manage and perform weekly payroll for the facility (5 employees). Our payroll is integrated with QBO.
- Communicate with vendors and clients to address inquiries and concerns - this would be at the direction of the President (not considered a major part of the role at this time)
- Work closely with our external accounting team to insure taxes and reports are filed accurately and on time (Fed and State taxes, payroll, etc.)
- Manage health insurance and retirement benefit plans.
Qualifications:
- Proven experience as an Office Assistant or in a similar administrative role.
- Proficiency in QuickBooks Online is required. Proficiency in QB Time (our timeclock system).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and manage time effectively.
- Thorough understanding of accounting principles - what goes on the income statement and what goes on a balance sheet. Help the President with cash flow projections.
