What are the responsibilities and job description for the Shipboard Talent Development Coordinator position at Norwegian Cruise Line?
BASIC PURPOSE : Responsible for coordinating with shipboard and shoreside constituents to assist crew members with onboard programs. Communicates updates and changes to policies, processes, and other Human Resources matters to all affected crew members. Provides support for the fleet training and crew welfare functions with special emphasis on coordination of materials, training events, crew welfare activities, and payment and tracking of invoices. Provides record keeping for training events, compliance training onboard, and department invoices. Provides general support to the training and crew welfare teams.
POSITION RESPONSIBILITIES :
Support the Shipboard Service Award program for Norwegian Cruise Line including running eligibility reports and performing hire date discrepancy validations.
Assist with package reroutes, logging of missing award requests, and award inventory levels.
Order office supplies for the shipboard talent development and crew welfare teams, and coordinate the distribution of materials, documents, and collateral to the vessels as needed.
Assist with reporting related to talent development functions, including training records, crew welfare inventories, recognition program, and service awards.
Work with purchasing and vendors to coordinate equipment and supplies in MXP for shipside orders and vendors for shoreside orders. Supply ships with materials not readily available through MXP.
Manage internal mailboxes and coordinate responses to all inquiries in a timely manner.
Responsible for timely payment of invoices, processing check requests, payment tracking and problem resolution with accounting.
Coordinate and manage the upload of shipboard policies on the intranet site.
Coordinate TIPS (alcohol awareness training) certification process for the training team onboard, recording of all sessions conducted, ordering or training materials, and shipping TIPS cards for crew members to the ships.
Support the Vacation Heroes Program and Crew Stateroom Comp Policy by coordinating with vessels and providing support with collateral.
Coordinate and support the shipboard crew welfare programs and initiatives.
Coordinate with mailroom staff for shipping packages and timely delivery to ships.
Provide administrative support to the shipboard talent development team.
Perform other job-related functions as assigned.
KNOWLEDGE AND EXPERIENCE :
EDUCATION : High School Diploma or equivalent. Post-secondary education in related field preferred.
EXPERIENCE : 1-2 years' experience in an administrative or Human Resources, personnel management, office management role. Prior experience working in the maritime or hospitality industry is preferred.
KNOWLEDGE & SKILLS : Intermediate to Advanced skills and experience using the Microsoft Office Suite is required. Advanced level of English verbal and writing skills, including the proper use of English grammar. Ability to prioritize workload and meet strict deadlines. Superior customer service skills to effectively respond to and meet needs of our clients. Ability to communicate effectively in writing and verbally with various levels of team members within the company. Ability to work independently. Effective interpersonal skills required due to high level of customer contact. Ability to maintain high level of confidentiality.
