Administrative Assistant for Registration/Welcome Center - 12 Month/8 hrs day/40 hrs week


Reports To:
Superintendent


Minimum Qualifications
:

  • High School Diploma/Associate’s Degree preferred or equivalent experience as deemed appropriate by the Board of Education
  • Any combination of training, education and experience which demonstrates possession of the knowledge and abilities stated below, and the ability to perform the duties of the position
  • Knowledge of all Microsoft Office Programs (Docs, Sheets, Slides, Gmail, etc.)
  • Knowledge of Powerschool
  • Bilingual preferred
  • Proficiency tests may be included in the interview process

General Description: Under basic supervision, performs a variety of administrative support functions to assist department staff with technical, clerical and operational duties. Responsible for initiating, maintaining and coordinating student database records and registration.

  • Ability to learn pertinent procedures and functions quickly and apply them without immediate supervision
  • Knowledge of standard office methods and procedures including excellent computer and proofreading skills
  • Telephone and public relations proficiency
  • General mathematics proficiency
  • Knowledge of automated and manual record keeping practices
  • Ability to plan and organize work to meet deadlines
  • Tactful and courteous demeanor


Duties and Responsibilities:

Performs work of a confidential nature in the following areas:

  • Provides assistance to families seeking placement of children in the Norwich school system.
  • Provide assistance to families proving residency in Norwich.
  • Registers new students, obtaining transcripts and other documentation. Inputs data for confidential student cumulative records, enrollment, transportation, free and reduced lunch program, attendance, etc.
  • Ability to relate in a positive, friendly manner with staff members, students, parents and the general public is essential.
  • Composes correspondence without instruction; maintains confidentiality of information.
  • Receives student data from schools and a variety of sources. Ascertains accuracy and reliability of information. Enters information into student information database. Updates permanent files as necessary.
  • Performs responsible and varied administrative work in receiving, entering and maintaining student registration data in a student database; performs numerical projections; and maintains administrative files.
  • Assists Supervisor of Registration and Residency Compliance Officer as needed.
  • Answer phones, doors and direct calls and visitors in the building.
  • Mail sorting and distribution for the building.
  • Ability to independently carry out special projects and tasks that may be assigned primarily related to registration and student database information.
  • Correspond with the bus company, Director of Transportation and families in relaying information.
  • Collaborate with the database specialist on closing the end of the year data, promoting students to proper schools and the year end rollover.
  • Assist Registration Supervisor with homeless students and coordinate associated transportation.
  • Works to collaborate with building administrators and administrative assistants with registration needs.
  • Other duties as assigned by the Superintendent

  • Environmental Requirements: encounter constant work interruptions; work cooperatively with others; work independently; work indoors.

Terms of Employment: Salary and work year to be determined by the contract between the Norwich Board of Education and the AFSCME Local 1303. 12 month position, 8 hours per day (40 hours per week).
