Fulfills the mission of Norwich University by performing professional and administrative duties that facilitate the day-to-day operations of the Dean of Students, Center for Civic Engagement, Recreation, and Student Activities. Interprets, monitors, and analyzes information regarding operating policies and procedures. Resolves problems that have a significant impact on the overall goals of the departments.
This is a 40 hour per week and 52 weeks per year 1.0 FTE position on campus.
Salary: $43,888/year or more depending on experience.
Essential Functions
- Administers all aspects of Card Services operations.
- Oversees daily operations, including customer support.
- Serves as principal contract administrator and communicates challenges, system updates, reports, and programmatic needs to relevant departments, vendors, and all end users.
- Manages residential meal plans in coordination with Housing and Dining Services.
- Manages electronic access systems and lock schedules.
- Manages CADETcard access privileges.
- Monitors and maintains efficacy of cards, equipment, and systems.
- Processes reconciliation reports and payments for on & off campus merchants.
- Manages CADETcard fee structures.
- Maintains the contractual relationship with the UVM CATcard Office and coordinates Norwich ITS support.
- Produces ID cards for students, employees, departments, conference services and camps, and guests.
- Coordinates staffing for Arrival Days.
- Processes patron terminations.
- Troubleshoots Card Services issues.
- Remains current on technologies and software updates and attends trainings.
- Oversees Work Study student staff.
- Oversees budgets.
- Manages financial accounting, including accounts payable and receivable, and other financial processes in support of Card Services and Student Affairs.
- Supports student clubs and advisors with club finances, including expenditures, deposits, check requests, budget inquiries, travel planning, and contracts.
- Processes recreation facility memberships, payments, and CADETcard access.
- Manages and tracks ticket sales and inventory for Student Affairs programming.
- Supports reconciliation of corporate credit cards for Student Affairs personnel.
- Supports Student Affairs departments and personnel with student involvement programming and administrative tasks.
- Supports campus programming and student involvement initiatives for the Campus Activities Board, intramural sports, New Student Orientation, recreation, student clubs, and volunteerism.
- Provides knowledgeable customer support about campus offices, programs, policies, and services, and refers students and guests to campus resources as appropriate.
- Assists with the execution of all talent and vendor contracts.
- Schedules spaces and services for events.
- Provides office, electronic, and phone reception for Student Affairs.
- Maintains equipment and office supply inventories.
- Supports War Whoop yearbook operations.
- Coordinates efforts with faculty, students, and vendors to ensure the timely production of a yearbook that reflects the University culture and community, and documents student experiences and engagement.
- Collaborates with faculty, students, clubs, and vendors to capture photos and other content.
- Maintains an annual timeline to ensure that the yearbook is completed and distributed on time, accurately, and professionally.
- Assists the planning, design, production, sales, and distribution of the annual yearbook.
- Responsible for intramural sports programming and serves as primary administrator for club sports teams.
- Delivers a competitive intramural sports program, featuring 6-10 team sports in a tournament or league structure annually.
- Supports administrative logistics for club sports teams and coaches, including accounts payable and receivable, scheduling, and student-athlete eligibility.
- Supports Campus Center operations.
- Serves as principal administrator for scheduling spaces and reservation processes for meeting rooms, lounges, outdoor space, and tabling.
- Coordinates scheduling WCC facilities for faculty, staff, students, student clubs, alumni, outside agencies and other guests/users.
- Coordinates communications in public space needs to Facilities Operations and audio-visual needs to ITS.
- Assists with print and electronic display postings.

Job Requirements:
- Bachelor's degree required. Degree in accounting, business administration, organizational leadership, or a related field strongly preferred.
- 3 years of professional experience in student engagement, recreation, or a related field.
- Ability to lead and mentor diverse, dynamic, and disparate student populations.
- Commitment to student development.
- Proven record of collaborative work efforts.
- Ability to recruit, train, motivate, and develop student staff.
- Demonstrated fiscal responsibility.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

- Evening and weekend work will be required for events and to support campus needs.
