Full job description
The office manager provides support for all pilots, the FBO, owners and clients. The successful office manager will have strong and confident knowledge of QuickBooks online as a full-charge bookkeeper and Microsoft Products.
Office Manager Responsibilities:
Serve as the point person for office manager duties including, but not limited to:
- Schedule meetings and appointments
- Maintain the office condition and arrange necessary repairs
- Update and maintain office policies, as necessary
- Schedule trips for aircraft owners and charter clients
- Coordinate ground transportation and develop a list for various cities
- Coordinate catering locally and maintain menus offerings for frequently visited locations
- Ensure that all payables are invoiced and paid on time
- Responsible for monthly client billing and invoicing for owner trips as well as chartered trips
- Responsible for preparing monthly reporting and analysis to aircraft owners
- Responsible for the monthly reconciliation of multiple bank and credit card accounts
- Assist with Human Resources duties, as needed, and Payroll biweekly
Office Manager Requirements:
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office and Quickbooks Online
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
