Job Summary:
The Dispatcher plays a crucial role in optimizing the allocation of craft personnel and resources to ensure excellent customer service and operational efficiency. This position requires collaboration with project managers, crew leaders, construction workers, and senior executives to manage scheduling, improve emergency services, and maintain performance metrics.
Key Responsibilities:
- Develop and maintain master schedules by assigning appropriately skilled personnel to meet customer needs and timeframes. Collaborate with project managers, crew leaders, Field Directors, and VP of Operations to level resources and minimize conflicts, manpower shortages, and unbillable work.
- Serve as primary liaison with field personnel. Communicate effectively to explain scheduling needs, assign crews, and inform personnel of pertinent company information in a timely manner. Address problems or issues that arise from the field, communicating them to general superiors or management as appropriate.
- Be responsible for maintaining and improving emergency call-in services to meet goals defined by the strategic plan.
- Work with Field Directors to interact with craft personnel, holding them accountable for job expectations related to scheduling and other responsibilities. Interact as necessary to reinforce good behavior or modify inappropriate behavior, including praise and verbal or written warnings when needed.
- Interface with payroll and accounting to maintain employee and job information. Issue location and vacation reports from the previous week for payroll and attendance records by designated times. Approve craft vacation requests.
- Manage and perform duties required for DOT Hazardous pipeline and DOT Vehicle programs to maintain Notch compliance. Act as main contact for 'Transportation Advisor.' Involve VP of Ops if problems arise in the program.
- Schedule random drug tests as required.
- Trigger HR action when drug test results are failed or questionable physical results occur, working with HR to meet EAP requirements.
- Collaborate with HR and VP of Ops when craft workers require accommodations.
- Perform background checks as required by customers.
- Assist in documenting and implementing company policies.
- Make recommendations for operational procedures and manual documentation, and assist in their implementation.
- Participate in ERT teams as required.
- Perform additional assignments per supervisor's direction.
Requirements:
- Minimum 4 years of experience in office administration or a related field.
- Experience in Operations Management or a related field is preferred but not required.
- Proficiency in various software, including project management tools, databases, and spreadsheets. Efficiency with Microsoft 365 is expected.
Physical Requirements:
- Ongoing lifting of items weighing up to 20 pounds may be required.
- Ability to stand, walk, sit, talk, and hear for extended periods.
- Able to operate a keyboard, telephone, and other standard office equipment.
