FLSA Status: Non-exempt (Hourly), Part-Time (approximately 24 hours per week)
Work schedule: Must be flexible as hours will vary
Reports To: Director of Faith Formation & Youth Ministry
Position Summary:
The Faith Formation Assistant provides support to the parish Faith Formation programs and various parish offices, including but not limited to: the Director of Faith Formation & Youth Ministry, Coordinator of Catechesis of the Good Shepherd, Coordinator of Children’s Faith Formation, and Director of Liturgy & Sacraments. This position will perform various office administrative duties as needed and may be required to work some evenings and weekends.
Essential Duties and Responsibilities:
- Welcomes and interacts with parishioners and visitors to the Youth & Family Ministry Office.
- Provides general information and directs people or calls to the appropriate personnel.
- Prepares responses to correspondence as directed.
- Assists in preparing registration deposits and records accordingly.
- Files and retrieves organizational documents, records, and reports.
- Monitors inventory of office supplies and equipment and orders as needed.
- Maintains confidentiality in all aspects of staff and parish information.
- Creates and modifies documents such as reports, letters, flyers and e-mails.
- May conduct research, compile data and prepare documents for supervisor review.
- Prepares certificates for First Communion and Confirmation.
- Assists in the preparation of the annual calendar for Youth & Family Ministry. Prepares the YFM calendar for the families.
- Completes data entry of new and returning students, ensuring students are placed into appropriate programs and grade levels.
- Collects payments and keeps record of payments, deposits all payments to the Financial Department.
- Monitors and orders office supplies as needed.
- Coordinates preparation of the weekly bulletin section for Youth & Family Ministry.
- Provides support where needed for Faith Formation programs – leading CGS for NDS students, filling in for absent catechists, Parent Orientations, retreats, etc.
- Assists in the planning and execution of Vacation Bible School.
- Assists in creating special family events – movie nights, All Saints, Advent and Lenten activities, Easter Egg Hunt, etc.
- Other duties as assigned by Supervisor
Requirements
Qualifications:
- Bilingual (English and Spanish) proficiency preferred.
- Practicing Roman Catholic with a commitment to his/her own faith and prayer life.
- Catechist Level 1 or pursuing
- Proven ability to work as part of a team promoting cohesive positive work environment.
- Proven ability to multitask, and complete projects in a timely manner.
- Demonstrates ability to learn new software.
- Experienced in teaching the faith to adults and children.
- Proficient in Microsoft Office (Word, Excel and Publisher)
- Excellent communications skills (oral and written), with ability to communicate with various levels of staff/leadership and parishioners of all age groups and varying cultural and social backgrounds.
- Ability to work evenings, weekends, and holidays due to unpredictable schedule when necessary.
- Demonstrates willingness to set priorities and organize work effectively and efficiently.
Education and Experience
- High School Diploma or GED.
- Minimum of two years of experience in parish faith formation.
- Previous general office/administrative experience.
Physical Demands/ Work Environment:
While performing the duties of this job, the employee is frequently required to stand, walk, sit, and occasionally required to climb stairs; balance; stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds with assistance if needed. The noise level in the work environment is usually moderate.
