Role Overview
The Client Experience Coordinator is the primary point of contact for clients, families, volunteers, and health professionals. This role requires strong communication, problem-solving, and multitasking skills to provide exceptional service while managing client needs and operational processes efficiently.
Key Responsibilities
Client Engagement
- Handle inquiries via phone, in person, and online with professionalism, warmth, and efficiency.
- Serve as a welcoming presence at the front desk, ensuring clients, volunteers, and visitors feel valued and supported.
- Address concerns and resolve issues promptly with empathy and sound judgment.
- Initiate wellness checks and emergency protocols when necessary, prioritizing client safety and well-being.
- Maintain clear, courteous, and timely communication with clients, families, and donors.
Operational Coordination
- Process client intakes and maintain accurate, up-to-date records in the database supporting efficient service delivery.
- Maintain and safeguard confidential client information, including dietary, health, and financial details, while ensuring compliance with organizational policies.
- Manage route assignments, monitor workflow, and recommend adjustments to optimize efficiency.
- Oversee billing processes with accuracy and timeliness.
- Utilize software tools to streamline data management and operational processes.
Volunteer Support & Collaboration
- Train, guide, and support office volunteers, fostering a positive and productive environment.
- Build strong relationships with volunteer drivers by addressing questions and providing clear guidance.
Workflow and Resource Management
- Prioritize and manage multiple tasks effectively, ensuring timely and accurate completion of daily responsibilities.
- Leverage resourcefulness to organize supplies, develop efficient processes, and support evolving client and operational needs.
- Apply analytical thinking to identify opportunities for route optimization and operational improvements.
Required Experience and Skills
- Strong customer service background with excellent written and verbal communication skills.
- Proficiency in computer systems and the ability to quickly learn new software. Experience with CRM, mapping, and fundraising software is a plus, as we use these tools to help streamline client management and optimize delivery routes.
- Self-motivated and capable of balancing independent tasks with teamwork to achieve organizational goals.
- Ability to thrive in a fast-paced environment, managing interruptions while maintaining attention to detail and meeting deadlines.
