About the Role
As a Parts Coordinator, you will play a crucial role in managing the inventory of parts and supplies necessary for maintaining and repairing our fleet. You will be responsible for ordering, receiving, tracking, and distributing parts while ensuring mechanics have what they need to perform timely and effective repairs. Your attention to detail and organizational skills will help keep our fleet on the road with minimal downtime.
Key Responsibilities
Inventory Management & Ordering
- Maintain an organized and efficient parts inventory system.
- Track parts usage and ensure essential parts are readily available for mechanics.
- Conduct weekly cycle counts and periodic physical inventory audits to reconcile stock levels.
- Source and order parts from approved vendors, ensuring cost-effectiveness and timely delivery.
- Follow up on back-ordered parts to prevent service delays.
Receiving & Distribution
- Inspect and verify incoming shipments against purchase orders.
- Ensure parts are labeled and stored properly to allow easy access and prevent damage.
- Issue parts to mechanics as needed and track usage to maintain accurate records.
- Handle warranty parts and returns, ensuring defective parts are returned or replaced.
Collaboration & Support
- Work closely with mechanics, shop supervisors, and fleet managers to ensure timely repairs.
- Keep accurate records of parts orders, costs, and inventory levels.
- Maintain a clean, safe, and organized parts storage area.
- Assist in coordinating fleet maintenance and repair schedules to minimize downtime.
Safety & Compliance
- Follow all safety procedures when handling parts, tools, and equipment.
- Ensure compliance with hazardous materials storage regulations for oils, chemicals, and batteries.
Skills & Qualifications
- Basic knowledge of truck parts, diesel engines, and repair processes.
- Strong organizational skills and ability to manage inventory efficiently.
- Excellent attention to detail to ensure accurate parts tracking.
- Strong communication skills to coordinate with mechanics and suppliers.
- Ability to problem-solve and troubleshoot inventory or sourcing issues.
- Proficiency in inventory management software and Microsoft Office.
- Experience in parts management, inventory control, or fleet maintenance (preferred).
- Valid driver’s license (CDL is a plus but not required).
Physical Requirements
- Ability to lift and carry heavy parts (up to 50 lbs or more).
- Capable of standing, walking, stooping, and climbing as needed.
- Must have manual dexterity to handle tools and equipment safely.
