Job Summary
The Outpatient Medical/PHP Assistant supports providers in a clinical setting by performing various administrative and clinical tasks. This role involves patient interaction, assisting with procedures, and ensuring the smooth operation of the outpatient clinic/PHP Program.
Responsibilities
- PHP Program Duties
- Communication and Scheduling
- Answer and manage phone calls; check voicemail and promptly return calls.
- Coordinate and maintain open communication with:
- PHP staff
- 1010 staff
- Sober Living staff regarding medical needs of PHP clients
- ARG for coordinating STD/STI testing for morning and afternoon health classes:
- Morning Class: 2nd Wednesday of each month
- Afternoon Class: 2nd Thursday of each month
- Work closely with PHP Assistant Coordinator and PHP staff to ensure timely client intake into PHP.
- Patient Care and Records
- Triage medical needs of PHP clients by handling medical request forms; seek supervision from Justin Grose on appropriate care for each patient.
- Conduct accurate pill counts for controlled medications as requested by PHP and Sober Living (SL).
- Pick up medications, including Vivitrol and other psychiatric medications, from Genoa for PHP and clinic needs.
- Dispose of or discard medications properly, including controlled substances and medications that are discontinued or not approved.
- Facilitate the care of clients who are in transition or on hold for PHP and residential programs.
- Coordinate care with residential medical staff on referrals for PHP.
- Conduct medication reconciliation for PHP clients.
- Update patient charts with:
- Medical records
- Lab results
- Other relevant documents.
- Coordinate and facilitate the release of information (ROI) between clients’ providers and the psychiatric NP.
- Track and record the number of visits with the psychiatric NP for quarterly reporting.
- Health Education Classes
- Organize and lead health classes as scheduled:
- Wednesday and Friday mornings, 9:30–10:30 AM
- Tuesday and Friday afternoons, 2–3 PM
- All health classes are developed by medical staff and presented in PowerPoint format.
- Topics include:
- Medication management
- Hygiene practices
- Safer sex practices, sex hygiene, and anatomy of sex organs
- Effects of substance abuse on the body
- Proper nutrition for recovery
- Understanding vital organ functions for overall health
- Seizure protocols
- Administrative and Support Duties
- Send PHP admission orders to Dr. Hernandez, updating charts with signed orders (24-hour turnaround required).
- Order and maintain inventory of medical supplies and equipment for PHP medical offices.
- Assist in keeping PHP building and medical offices clean.
- Clinic Duties (Psychiatric NP Medication Management Clinic)
- Appointment Management
- Schedule outpatient appointments according to designated clinic times:
- Evansville: Monday and Wednesday, 1–3 PM
- Rockport: Thursday, 1–3 PM
- Patient Care and Clinical Assistance
- Measure and record vital signs of clients.
- Conduct accurate pill counts for controlled medications.
- Dispose of or discard medications properly, including controlled substances and discontinued or unapproved medications.
- Assist provider with appointments and procedures.
- Perform standard care procedures as required.
- Coordination and Referral Management
- Facilitate referrals from clinicians to Justin Grose, NP, for medication management.
- Coordinate with Williams Brothers for oxygen refills and manage biohazard disposal.
- Handle prior authorizations for medications only.
- Additional Expectations
- Must be able to work independently and communicate effectively, as the psychiatric NP is in-office only two days a week, with the other three days providing telehealth coverage, requiring the CMA to facilitate these visits
- Attend all mandatory weekly trainings including but not limited to individual supervisions, group supervisions, treatment teams, etc. to improve your skills and provision of services to clients.
- Seek additional supervision to manage any ethical dilemmas or personal values conflicts and for appropriate treatment planning as needed.
- Complete and maintain your note documentation in a timely manner. All documentation and clinical notes are current and within agency standards. 48 hours is the expectation. 7 calendar days is within acceptable standard from the DOS.
- Use only the agency screening tools, forms, notes system, and technology. Provide the certificates of completion to your supervisor.
- Handles inter/intrapersonal conflicts and day to day challenges professionally and assertively during supervision and directly with the staff member(s) involved, avoiding triangulation behaviors. Communicate professionally and collaboratively with colleagues, stakeholders, and clients.
- Complete all Human resource paperwork as directed and provide initial and random drug screen as requested by leadership team. Complete online and assigned trainings within expected time frames. Start training immediately upon acceptance of the offer letter and submit the complete HR file to saragoad@nowcounseling.us within 30 days of your first day of employment.
- Maintain professional, legal, and ethical boundaries with all patients and former patients in accordance with agency policy and procedures.
- Maintain self-care and utilize private therapy as necessary to maintain personal mental health stability, wellness, and resolution of internal conflicts.
- Comply with agency policy, memorandums, and management directives always.
- Conduct your responsibilities and duties in accordance with the agency employee handbook.
- Follow Code of Conduct for agency as well as any ethical codes pertaining to individual’s certifications.
- Always practice within scope and follow all ethical and legal requirements, including but not limited to Duty to Warn and Mandated Reporting.
- Proactively communicate any conflicts of interest with clients and/or referral partners to leadership team.
- Adhere to all policies and procedures set forth by the agency, including but not limited to the Drug Free Workplace Policy.
