POSITION SUMMARY:  The Fleet Services Coordinator provides administrative support for the Area maintenance and fleet functions. This position will support in-house and outsourced maintenance function for a selected region with multiple business units and divisions. This position will ensure data integrity by analyzing and correcting information. This position will escalate performance metric issues to the management team for comparison against Corporate Fleet objectives to maintain Republics Absolutes & Standards.


PRINCIPAL RESPONSIBLITIES:

  • Acts as a point of contact with vendors to order, receive and ensure payment for goods and services.

  • Responsible for vendor relationship with outside maintenance providers.

  • Reviews purchase orders with accounting to ensure accuracy and proper payment of invoices.

  • Works with Area manager to reconcile maintenance system of record and financial reports to financial Maintenance general ledgers and the monthly P&L’s.

  • Maintains fleet records on, Preventive Maintenance (PM) schedules, and corrective maintenance performed on all assets.

  • Inputs fleet invoice pricing and compliance documentation from outsourced maintenance providers into the computerized fleet management system. 

  • Produces various weekly productivity and Fleet usage reports from the maintenance system of record and Samsara for managements review.

  • Assists with Inventory functions to include receiving, tags, stocks, Vehicle Maintenance Reporting Standards (VMRS) coding and managing of inventory parts at shops according to our Corporate Fleet Standards.

  • May assist with the parts organization and inventory control. Assists with the availability of parts and warranty parts in a cost-effective manner.

  • Follows industry standards and compliance regulations to report on fleet and equipment activities.

  • Follows all safety policies and procedures; participates with the team to achieve area safety goals on the Fleet Assets.

  • Assists in running reports as well as the distribution of detailed monthly fleet data to all divisions that support the high-level presentation material (i.e. overdue PMs, fuel detail, maintenance expense).

  • Distributes monthly coming due preventive maintenance reports to help divisions plan for PMs that will be due in 30 days or less.

  • Performs other job-related duties as assigned.


QUALIFICATIONS:

  • 2-4 years of experience in fleet maintenance, operations, trucking industry, or related field preferred.

  • Experience in continuous improvement through the implementation of best practices preferred.  

KNOWLEDGE / SKILLS / ABILITIES:

  • Ability to understand current-state operational processes and apply independent judgement to solve defined problems.

  • Knowledge of fleet, financial, and purchasing software systems.

  • Basic knowledge of Vehicle Maintenance Reporting Standards (VMRS).

  • Broad knowledge of Microsoft skills.

  • An eye for detail when proofing and inputting data.

  • Ability to manage and use data involving looking for patterns and understanding database design concepts.

MINIMUM REQUIREMENTS

  • 2 years of general office experience or equivalent training.

  • Intermediate level Excel skills.

SUSTAINABILITY INNOVATION

Republic’s recent innovations to advance circularity and decarbonization demonstrate our unique ability to leverage sustainability as a platform for growth.

The Republic Services Polymer Center is the nation’s first integrated plastics recycling facility. This innovative site processes rigid plastics from our recycling centers, producing recycled materials that promote true bottle-to-bottle circularity. We also formed Blue Polymers, a joint venture with Ravago, to develop facilities that will further process plastic material from our Polymer Centers to help meet the growing demand for sustainable packaging. We are building a network of Polymer Centers and Blue Polymer facilities across North America.

We continue to advance decarbonization at our landfills. As demand for renewable energy continues to grow, we have 70 landfill gas-to-energy projects in operation and plan to expand our portfolio to 115 projects by 2028.
