Job Summary :

The Legal Assistant will provide advanced administrative support to attorneys and paralegals in the Legal Department, specializing in real estate development and construction law. This position requires a thorough understanding of legal documents and terminology, excellent communication skills, and the ability to manage a high volume of work in a fast-paced environment.

Responsibilities :

  • Manage and organize legal files, both physical and electronic, ensuring easy retrieval and confidentiality.
  • Managing and coordinating signatures in connection with real estate closings.
  • Schedule and coordinate meetings, and closings, managing calendars and travel arrangements for attorneys.
  • Communicate effectively with internal stakeholders and external attorneys, providing professional and courteous service.
  • Manage incoming and outgoing mail and correspondence, including drafting and proofreading letters and emails.
  • Process legal billing and expense reports.
  • Assist with due diligence activities related to real estate transactions.
  • Perform other administrative tasks as assigned, such as answering phones, preparing reports, and managing projects.
  • Qualifications :

  • High school diploma or equivalent required; Associate's degree or paralegal certificate preferred.
  • Minimum of 5 years of experience as a legal secretary, preferably in real estate law, construction law, or a related field.
  • Strong understanding of legal terminology, and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, time management, and prioritization skills, with the ability to manage multiple tasks simultaneously.
  • Exceptional attention to detail and accuracy.
  • Strong communication and interpersonal skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality.
  • Knowledge of real estate closing procedures is a plus.
