PURPOSE

Under the direction of the Director of Accounting, the Senior Accountant will contribute to the support of breast and colorectal cancer research and the management of clinical trials by providing accounting and payroll services to the organization.

ESSENTIAL FUNCTIONS

30% OF TIME

Payroll

  • Maintains payroll information by directing the collection, calculation, and entering of payroll data; reviews and enters payroll changes in exemptions, insurance coverage, savings deductions, job titles, and department transfers; directs the production and issuance of electronic transfers to bank accounts. Imports payroll into accounting system and balances to general ledger / Project Balances. Resolves payroll discrepancies. Imports 401K / 457B to 3rd parties; prepares check requests for 3rd party payroll deductions / taxes.
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Protects payroll operations by keeping information confidential.
  • Complies with federal, state and local legal requirements by remaining apprised of existing and new legislation; advises management on needed actions.

70% OF TIME

Accounting

  • Prepares deposits, account transfers, stop payments and account administration; approves positive pay items; monitors bank account status online daily.
  • Reconciles grant accounts per contract; prepares invoices; processes contract payments; follows-up on discrepancies.
  • Coordinates coding of all cash receipts; prepares journal entries and deposits; uploads deposits to bank; logs deposits.
  • Reconciles closing of Federal grants; prepares Federal reports; prepares and files quarterly cash reconciliation of Federal grant accounts.
  • Analyzes all Federal grant accounts for total draw of funds from Federal government; prepares Draw worksheet and requests funds; transfers funds received to appropriate accounts and records in accounting system.
  • Coordinates, reviews and prepares insurance policy renewal applications.
  • Prepares audit work papers as required for State and Federal audits; serves as liaison for annual Worker's Compensation audit.
  • Records, asset tags and inventories capital equipment purchases; calculates depreciation as needed.
  • Provides information for budget preparation.
  • Coordinates off-site storage, shredding, and storage supplies within NSABP.
  • Coordinates parking leases with employees.
  • OTHER RESPONSIBILITIES

  • Maintains professional knowledge by reviewing professional publications, attending professional meetings, and establishing personal networks. Able to travel to offsite meetings
  • as required.

  • Understands and adheres to the policies, procedures, regulations, and practices necessary to conduct the normal function of this position.
  • Maintains confidentiality and performs duties in a responsible and ethical manner.
  • Performs additional duties as may be assigned.
  • EXPERIENCE / SKILLS

  • Five (5) years of payroll experience; strong knowledge of payroll, Human Resource and tax laws.
  • Banking experience – wire / deposits / transfers.
  • Ability to coordinate and prioritize tasks independently and complete in a timely manner.
  • Knowledge of Netsuite Accounting System; PC proficiency in Microsoft Office Applications; working knowledge of office equipment.
  • Research / Grant Post-Award administration, OMB Grant Circulars / NIH regulations, and Federal Drawdown experience.
  • Subcontract billing experience.
  • High degree of accuracy and attention to detail; must be well organized.

    This position is located in Pittsburgh, PA. We currently offer a hybrid work schedule of 3 days in the office (Monday, Tuesday and Thursday) and 2 days remote work (Wednesday and Friday) per week.
