Job Summary:
The Building Services Assistant is responsible for ensuring the smooth operation of building services, including maintenance, janitorial, and security at an office location in downtown Cincinnati. This role involves coordinating various tasks, collaborating with clients, and providing administrative support as needed.
Days/Hours:
Monday through Thursday from 7:30 a.m. - 4:30 p.m. (32 Hours Per Week)
Major Duties and Responsibilities:
- Process all badge access requests for Downtown Corporate locations.
- Maintain site supplies for the badging process.
- Serve as a liaison between building owners and tenants, addressing concerns or issues promptly.
- Conduct daily, weekly, monthly, and yearly security audits of open temporary and vendor badges.
- Receive and dispatch building service requests to the appropriate division.
- Generate work orders as necessary.
- Handle incoming and outgoing mail, deliveries, and coordination of shipments.
- Provide backup support for overflow of other departmental duties, including data entry, organization, and filing of records.
- Administer parking sign-ups and cancellations.
- Perform other related duties as assigned.
Qualifications:
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service abilities.
- Exceptional organizational skills and attention to detail.
- Proven time management skills with the ability to meet deadlines.
- Proficiency in Microsoft Office Software, including Excel, Word, Outlook, OneDrive, and SharePoint.
- Ability to multi-task and work effectively with all levels of staff.
Education:
- High school diploma or GED equivalent required.
Related Work Experience:
- Minimum of 3 years in an administrative support position.
Physical Requirements and Working Conditions:
- Prolonged periods of sitting and working at the front desk, interacting with incoming traffic and dispatching incoming service requests.
