- Provide administrative support to the repossession team by managing phone calls, emails, and inquiries from clients, debtors, and other lienholders.
- Maintain accurate and up-to-date records of repossession cases, ensuring all documentation is complete and filed appropriately.
- Prepare and process necessary paperwork, including repossession orders, legal documents, and billing invoices.
- Coordinate with repossession agents and field personnel to schedule appointments, provide updates, and ensure timely completion of tasks.
- Assist in data entry, data analysis, and report generation to support business decision-making processes.
- Monitor and track the progress of repossession cases, ensuring adherence to deadlines and compliance with legal requirements.
- Collaborate with the finance department to reconcile accounts and handle payment transactions related to repossession services.
- Maintain confidentiality and handle sensitive information with utmost professionalism and discretion.
- Assist in general office tasks, such as managing office equipment, and organizing files and documents.
Requirements:
- High school diploma or equivalent; additional education or training in office administration or related fields is preferred.
- Proven experience in an office support role, preferably in the automotive, legal, or financial sectors.
- Proficient computer skills and data entry.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
- Strong attention to detail and accuracy in data management and record-keeping.
- Excellent verbal and written communication skills, with the ability to communicate professionally and courteously with clients and colleagues.
- Ability to handle sensitive information with confidentiality and integrity.
- Demonstrated problem-solving skills and the ability to adapt to changing situations.
- Familiarity with repossession regulations and procedures is a plus.
- Ability to work independently as well as collaboratively in a team environment.
