Position: Operations Associate
Reports to: Manager of Operations

The anticipated salary range is $60,000 to $75,000.00 for a candidate who will work in New York City. The salary offered to a successful candidate will be dependent on several factors that may include but are not limited to years of experience to the job, education, and certifications.

Schoolwide Operations
- Entering student data into the Scholars Information System.
- Helps new parents complete student enrollment packets.
- Produce and distribute correspondence memos, letters, faxes and forms.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Support with schoolwide activities such as House Day, Prom, Graduation, PTC, etc.
- Assist with arrivals and dismissal procedures.
- Ensure NYC guideline compliance to scholar immunizations.
- Updating ATS and school SIS daily.
- Function as the main point of contact for teacher/staff supply requests.
- Manage all functions of the school’s main office inclusive of delegating duties, follow up and redirecting school aides to assist with ensuring that the main office consistently functions at operational excellence.
- Lead the brand, tasks and pace of the main office.
- Support the Manager of Operations and Assista Manager of Operations with running the main office and all tasks that flow through it.
- Effectively communicates with families.
- Knowledge of office equipment such as computers, printers, copiers, and fax machines, place tickets, communicate and follow up when necessary.
- Support scholars and families with technology troubleshooting.
- Enters a variety of data into data trackers and excel spreadsheets.
- Greet all visitors and controlling access to the school.
- Serve as gatekeeper to address questions and minimize interruptions of the school administration and instructional teams.
- Set the tone for the school's warm and professional culture.
- Answer phone calls, directing calls, taking messages, placing outgoing calls, making public address announcements, sending robo calls.
- Ensure the school's main office environment is at all times clean, neat, organized and orderly.
- Collect and maintain forms and other records, securing missing forms, and ensuring the confidentiality of all scholar records.
- Using the SIS and other systems to maintain and update all scholar contact/demographic information
- Process late scholar arrivals and following up with families of absent scholars.
- Ensure scholars leave only with authorized parents or guardians.
- Ensure memos, notices, and other school-specific documents are delivered, collected from classrooms and processed daily.
- Occasionally assist the school nurse with the handling of sick scholars.
- Assist Manager of Operations with special/time-sensitive projects throughout the year, including but not limited to: summer inventory, school year startup, scholar enrollment, assemblies, and end of year closeout.
- Update dismissal change sheets daily for classrooms and distributes to staff.
- Other duties as designated by the Managers of Operations.
