JOB SUMMARY
The Special Projects Coordinator will provide administrative support to the Impacto Media division, which includes processing vendor payments, client invoices, and payment collections. The Special Projects Coordinator will also process orders for weekly advertisements and ensure proper execution of sales contracts in coordination with the editorial team. Additional administrative duties and project management tasks may include client reports, credit card reconciliations, scheduling, and recordkeeping of Impacto documents.
JOB DUTIES
- Process payments to vendors in a timely and accurate manner on Esperanza-designated software.
- Prepare and send invoices to advertising clients on Esperanza-designated software.
- Keep track of all billing and assist with collections of pending payments from advertising clients on Esperanza-designated software.
- Process insertion orders for advertisements on all media platforms and submit to the editorial team for publication through the Impacto-designated platforms. Follow up with the editorial team as needed to ensure that the insertion order is executed properly.
- Complete credit card reconciliation reports as needed for Impacto credit card payments.
- Maintain financial records and documentation related to contracts, grants, vendors, and clients so that it is accessible to management.
- Process internal/external documentation required by clients or internal units at Esperanza.
- Communicate with vendors and clients to resolve billing or payment inquiries.
- Support with scheduling and project management functions for key Impacto Media team initiatives.
- Prepare reports for clients and stakeholders as needed using audience insights from Impacto platforms.
- Assist with graphic design and Impacto social media tasks as needed.
- Support general administrative tasks as needed.

REQUIRED KNOWLEDGE AND SKILLS:
- Ability to conduct general administrative tasks
- Social media and graphic design skills.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Canva.
- Ability to use Google Analytics and Meta as needed to retrieve and analyze audience data.
- Ability to use project management software such as Trello.
- Ability to handle multiple tasks effectively, work independently, and meet deadlines.
- Strong writing skills and ability to communicate professionally with internal and external stakeholders (including Esperanza staff, vendors, and clients) on Impacto’s behalf.
High School Diploma. Bachelor’s degree preferred.- Sales or marketing experience preferred.
- Spanish and English language written and verbal proficiency
