Sales Support Position
As the Office Manager, you will oversee order management, logistics, and bookkeeping while ensuring a positive client experience. In this role, you will coordinate shipments, client pickups, deliveries, and manage accounts receivable—making sure orders are correct, on time, and properly invoiced. You will collaborate with suppliers, the sales team, the graphics department, and clients to achieve these goals, handling tasks such as data validation, order management, job scheduling, logistics, and conflict resolution.
Key Responsibilities:
- Manage Remote Customer Service Representative
- Validate Information on Orders and Submit to Suppliers
- Schedule and Manage Critical and Critical Rush Orders
- Communicate with Decoration Partners and Manufacturers to Ensure Orders Are Completed Correctly and in a Timely Manner
- Monitor the Graphic Department Queue
- Manage Shipping and Receiving
- Communicate with Clients to Schedule Pick-ups and Deliveries When Required
- Communicate Issues to Clients Should They Occur
- Problem Resolution When an Error Occurs with an Order
- Manage, Inventory, and Order All Office and Marketing Supplies
- Validate and Monitor Gross Profit on All Orders
- Send Invoices and Monthly Statements to Clients
- Make Collection Calls
- Enter Client Payments (Including Process Credit Cards) and Create Deposits
- Analyze UPS Invoices and Allocate Shipping Costs to Jobs
