Job Overview: As an AP specialist, you will be responsible for Accounts Payable including accurate and timely processing of the company's invoices to include coding, processing and research. In addition, as an Inventory Specialist you will play a critical role in the daily operations, helping to ensure the seamless and efficient product and delivery of our certified fresh-prepared food products. This position is responsible for analyzing production schedules, managing inventory control points, and involved in procuring necessary ingredients and materials. In addition, also being responsible for providing a high level of communication to both internal and external vendors. Accounting Payable knowledge, basic math skills, communication skills and analytical skills are critical for this role.
Responsibilities and Duties:
- Respond to vendors regarding all aspects of the accounts payable process,
- Research information to provide accurate and timely solutions
- Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used.
- Generate payment to vendors on a routine schedule and match the check with backup for review by the Senior Accounting Manager.
- Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to company standards.
- Maintain a filing system of all AP/AR documents to ensure easily available information.
- Monitor account balances for the Accounts Payable.
- Assist in managing inventory levels by monitoring stock and coordinating reorder points.
- Process purchase orders, bill of lading (BOL), track shipments, and ensure timely delivery of goods.
- Implement inventory control measures to minimize waste and ensure accurate stock levels
- Conduct regular inventory audits and analyze discrepancies
- Maintain accurate records of shipments, invoices, ingredient prices, and other supply chain activities.
- Maintain strong relationships with suppliers
- Coordinate the work of production planning and inventory
- Collaborate with other departments, including sales, logistics, and quality assurance, to ensure seamless operations.
- Collaborate with the production team to ensure execution of the production plan.
Qualifications:
- Associate’s degree in accounting with relevant work experience
- Ability to work independently and as part of a team in a fast-paced environment
- Strong problem-solving, analytical skills and work ethics
- Excellent verbal, written, organizational and interpersonal communication skills
- Three years of general accounting and inventory experience
- Experience with USDA, FDA, SQF or HACCP certifications is highly desirable but not required
- Strong understanding of production processes, inventory control principles, and supply chain management
- Proficient in Microsoft Office Suite, particularly Excel; experience with supply chain software is a plus
